Head - Administration & Facility

Position Overview:
- Looking for someone to head our administrative activities of the corporate office and site offices in different locations. Job responsibilities include Security, Infrastructure, facility and other company property.

- Ideal Candidate Ex-Army / Defence only or Ex-police below 45 yrs of age group and with corporate work experience.

Responsibility:

- Responsible for managing the corporate office and other site offices Pan India

- Support & oversee Site Mobilization & De Mobilization activities by coordinating with HR Head

- Integrate administrative functions at head office and project sites by close coordination & monitoring of all sites.

- Prepare & Monitor the Annual Admin Budget for HO & Sites

- Design & update Workforce Contingency Plans for HO & Sites

- Ensure the safety & security of all employees working in HO & Project Sites

- Maintain disciplinary code of conduct by ensuring all employees maintain decorum/etiquette in the office & sites

- Display Strong Service Orientation towards all tasks

- Prompt response for employee\'s well-being in case of any accident/event at the site

- Collaborate with CHRO to facilitate CSR initiatives

- Maintain records of all Insurance Policies - claims, renewal, as applicable to all Project Sites (CAR Policy, etc. and Workmen Compensation Policy

- To ensure project site registration of licenses, certificates & renewal whereas applicable

- Contract Labour Management by ensuring on-time closure of all contract labor compliance issues.

- Liasioning with various govt. officials, labor dept, civil dept., traffic dept., police station, etc. and ensure that related issues are settled amicably. Liasoning with Security Agencies for appointing security guards at Head Office & Sites, as per need.

- Ensure Security Agency delivers services as per Work Order requirements & internal checklist

- Ensure good monitoring of security personnel deployed at sites to control pilferage

- Review the performance of security and approve their invoices after scrutiny of applicable

deductions/advances

- Ensure the statutory compliances/licenses of all agency are complied with for registration and before processing any invoices

- Ensure all Sites are monitored under CCTV surveillance 24 x 7

- Ensure Housekeeping & Security Agency delivers services as per Work Order requirements & checklist at HO

- Cafeteria Management as per standard requirement

- Visitor Management: Ensure the receptionist at HO maintains all visitor records and manages all visitors cordially

- Ensure facilities like - clean & hygienic workspaces, reception, conference rooms, pantry, cafeteria, washrooms, car park

- Train the services team (office boys, receptionists, security) for the fulfillment of all duties with service orientation

- Ensure all AMC\'s, Electrical, Mechanical, Plumbing, Repairs, and Maintenance along with Office furnishings are in the required state in HO

- Oversee the management of all the assets/facilities at HO with quality & safety orientation

- Able to deliver all essential services to HO employees to ensure a conducive & safe work environment

- Monitor & take corrective actions towards all site administrative activities like - Guest House / Room Rentals, Car, Security, Labour Camp & Hospitalization

- Ensure basic amenities are provided to employees like - site infrastructure, seating, water, pantry, canteen, and other hygiene elements

- Monitor the functioning and maintenance of the Labour Camp at all Project Sites

- Ensure adequate facility for Contract labor transportation from camp to the respective site

- Monitor the expense towards all utility costs like - electricity, water, transportation, hygiene, miscellaneous, etc. at HO, Project Sites, Labor Camps, and accommodation

- Monitor performance and maintenance of all Inspection Vehicles deployed at HO & Sites whether hired or owned

- Facilitate employee engagement, and welfare activities across the organization by close coordination with the HR team

- Ensure all functions conducted in HO are as per the allocated budget and programs

- Ensure & review the completion of Visa Processing.

- Ensure & review Travel Bookings & Hotel or Rental Accommodation for HO staff / Visitors as per guidelines

Desired Profile:

- Mandatory Skills: Ex-service person (Army/Defence) with 15+ yrs of experience in admin activities. Age should be in the range of 40 to 45.

- Ex Police officers who got VRS and are within 45 yrs of age group.

- The person should have prior experience in corporate companies managing security and facility services

- Able to handle Pan India operations.

- Languages are known - English, Telugu, Tamil, Hindi.
