What this job involves:

Centralising all logs and requests

What we\xe2\x80\x99re looking for is an expert who can effectively streamline processes and requests. Reporting to the property manager, you\xe2\x80\x99ll provide superior call logging services\xe2\x80\x94receiving and logging complaints containing complete details of the requests.

In line with this, you\xe2\x80\x99ll tag each request with unique identity numbers to determine the nature of issues, and to dispatch them to the appropriate department. You\xe2\x80\x99ll also follow up on the progress of each request by coordinating with respective assignees and monitoring their response time.

  • To Provide Help Desk Service and ensure each request is recorded properly and promptly, dispatch a work order request to the person responsible for its completion, take feedback from the employees, and generate reports.
  • Provide management advice to the Helpdesk for escalated issues.
  • Ensure immediate response to priority Calls.

  • Oversee the Front office Function during the shift and take charge during absence of Front office Executive.
  • Oversee the Mailroom process during the shift.
  • Provide management advice to Mailroom for escalated issues
  • To check the attendance of our vendor\'s employees.
  • Take monthly Vendor performance evaluations and close on the improvement points.
  • Prepare weekly shift/duty rosters for Supports staffs.
  • Manage the inventory control of all facility-related items.

  • You\xe2\x80\x99ll also be in charge of creating stock reports, meeting minutes and monthly management reports to the clients.
  • Going above and beyond expectations
  • Client satisfaction is second nature to the person in charge. In this role, you\xe2\x80\x99ll take on difficult issues and seek out opportunities to improve operations. You\xe2\x80\x99ll also be constantly in tune with the team to achieve key performance metrics and meet service-level agreements.
  • You will also be responsible for the timely and accurate completion of FM reports, and coordinate for all soft services activities
  • Occupancy planning / space Management /Client environmental and sustainability data submission , PAN India Head count report, Inventory Management , Corrigo support / New Joinee support etc.
Furthermore, you\xe2\x80\x99ll keep tabs on feedback and communicate with the requestor to ensure the closure of the task. You\xe2\x80\x99ll also prepare daily and weekly reports on call status, as well as monthly reports on recurring calls. Assisting building engineers in conducting analyses is also within your scope.

Performing other ad hoc tasks

As an expert in the field, you must be flexible in taking other responsibilities aside from your core tasks. Part of your mandate is to contribute to the monthly management report for our clients. Likewise, you\xe2\x80\x99ll work closely with admin personnel in processing invoices.

Likewise, you\xe2\x80\x99ll be working side-by-side with both engineering and facilities departments in handling our contractors and developing operational procedures. Ensuring workplace safety is also within your scope. To do this, you\xe2\x80\x99ll actively participate in health and safety reviews and identify potential risks. You\xe2\x80\x99ll also participate in emergency evacuation procedures as needed.

Proven industry experience

Are you a degree holder with three to five years\xe2\x80\x99 experience in facilities management? Do you have a solid background in helpdesk operations and strong working knowledge of occupational safety? Do you have a proven track record in rolling out improvement initiatives?
