Summary:
The HR Operations Specialist will be responsible for executing all HR transactions and administration, supporting the HR team, across all HR service categories including data maintenance, scorecards, reporting, and more. This role requires an emphasis on data integrity and analysis to support key HR decisions.
As a member of the HR Operations team you will provide coverage and support as needed and receive guidance and escalation support from the leadership team.
Key responsibilities:
1. Facilitates onboarding and leads New Hire Orientation.
2. Partners with IT and Business Support to ensure appropriate setup is complete for each new hire prior to their first day.
3. Under the guidance and in line with policies and procedures, processes employee hires changes and separations in our HRMS system.
4. Completes employment/unemployment verifications and requests for separation information.
5. Answers frequently asked questions from employees relative to standard policies, benefits, hiring processes, etc. Refers to more complex questions to appropriate senior-level HR staff or management.
6. Hands-on experience in using HRMS tools like WorkDay, Ultipro, Zoho, and similar
7. Ensures the maintenance and accuracy of human resource files, records, and documentation, in accordance with defined policies and procedures. Assists with organizing the HR Shared Drive and HR social media pages
8. Gathering and analyzing employee data for decision-making. Prepares and coordinates presentations, various reports, correspondence, communications, organizational charts, spreadsheets, etc.
9. Updates and maintains web pages, dashboards, and other databases. Makes copies, scans documents, collates documents, and files.
10. Takes accurate and thorough notes for Business HR, in support of strong investigations and required documentation.
11. Assists with off-boarding employees including separation paperwork. Conducts exit interviews and highlights findings. Assists with summary reports and compilation of metrics.
12. Maintains the integrity and confidentiality of all human resource files, records, and information.
13. Provides recommendations for various process improvements and efficiencies within the HR Administration team.
Skills required:
1. Bachelor’s degree in Business Administration, Management, or similar
2. 2-4 years of experience in HR operations is required
3. Excellent English communication skills
4. Ability to collaborate with multiple stakeholders; understanding, interpreting, and addressing their needs.
5. A strong drive and willingness to own projects and see them to completion.
6. Ability to maintain steady resilience throughout aggressive deadlines, changing priorities, and evolving operations, as common to progressive start-up environments.
