Job Description


Summary The Sales Order Operations Specialist assists in managing the day-to-day activities focusing on post booking sales related activities. Typical duties may include sales assistance, order tracking, managing estimated invoicing dates (EIDs) for sales forecasting accuracy, initiating returns of material and post sale activities related to sales orders in process or completed. Essential Functions Assists with tracking monthly revenue, revenue projections and estimated invoice dates based on a defined schedule as well as off-schedule Initiates return merchandise authorization (RMA) based on National Account Manager (NAM), Customer, or Project Management\'s request Handles tickets submitted for post-sale inquires according to the service level agreements in place Manages backorders and communicates status to NAM and customer Communicates with NAM\'s, customers and vendors regarding sales support as needed Assists in gathering customer order history data or details for Sales and Management teams as requested Maintains communication cadence with Inside Sales Representative (ISR), Procurement, Project Manages the customer throughout the sales cycle and delivery process Creates and maintains status reporting for internal and external customers as needed Additional Specific Duties and Responsibilities Processes small transactional orders directly from customer when Customer PO is provided allowing NAM and ISR to focus on larger orders if needed Holds the responsibility to process orders relative to specialized accounts identified at the leadership level Operates during end of month, end of quarter, end of year strategic manufacturers as needed to ensure all inquiries and EIDs are processed promptly Backs up and assists other team members when order queue is high or as needed for vacation coverage Attends internal and external training classes to ensure technical expertise on products, solutions, and order process Works with SSR Manager, Director, Sales Operations on task forces and internal projects as requested and when appropriate Looks for process improvements and brings those ideas forward as appropriate to their SSR Manager Works towards making internal and external customers raving fans of themselves. Required Qualifications High school diploma or GED Excellent communication and organizational skills Proficient with Microsoft Office Suites Ability to work in a fast paced, high volume, challenging environment Exceptional listening, verbal, and written communication skills Self-motivated, with high energy, operates with urgency Ability to work independently and part of a team Ability to absorb technical information and execute Strong problem identification and resolution skills Desired/Preferred Qualifications Associates or College degree A minimum of 3 years of sales support experience, technology industry Previous business experience in a sales or HW/SW Company Previous experience with sales software, such as MS Great Plains & Dynamics
