Your Responsibility

Teamwork & Communication
Has strong cooperation with other team members within the function, locally and globally in order to drive best practice development, secure constant improvements & ensure alignment of goals and priorities connected with the scope of work

? Work closely with PM, CM, FM, IR & On-site Resp. for good flow of deliveries and problem solutions on site (extra orders, missing material, delayed shipment);
? Provides contractors with needed details for interior installation
? Supports all NCG system users and handles questions and issues
? Have strong cooperation with other departments locally and globally in order to secure department and company goals

Financial follow up & analysis
Secures financial transparency, analyses reasons behind extra orders and manages claims in an efficient way
? Follows up and controls invoices per supplier, transport & on site dates
? Checks if invoice value is matching with the NCG order report & contact the supplier in case of discrepancies
? Follows-up, revises and approves invoices according to orders & investment accounts
? Handles payments on time in financial systems (EDIM/FDW) in order to avoid penalties
? Challenges extra orders (change orders) if they occur and analyses the reason behind it
? Ensures that actual figures are in line with forecasted figures in IPS
? Updates IPS and secures accuracy of information (budget/forecast/actuals) for M&E section
? Handles claims for damaged & faulty interior with the involved parties (supplier, forwarder, split point, contractor, staff)
? Handles claims connected to damages and warranty for NCG orders
? Collaborates closely with accounting department & perform monthly balance sheet checks

Routines, Project overview & Logistics
Handles communication with all relevant parties connected with: delivery times & terms, shipment check, damaged goods handling, payment of freight, split point management (searching and coordination), technical stock management, left over management
? Generates full Order Report from NCG for each store & cross check with final layout
? Monitors the interior handling throughout the whole process (suppliers - split point)
? Handles inventory list for left overs and secures their efficient and cost conscious handling
? Provides feedback & status report to Interior Purchase after each project is completed
? Works well with the stock management system in the market and ensures the materials & equipment are allocated to the right stores
? Follows up regularly on interior quality, storage & delivery conditions
? Orders interior and shop fittings for all existing stores together with the Area
? Regular site visits to stock management warehouse to secure the quality of the warehouse and the stored products

Planning, Organizing & Initiatives
Works well autonomously and handles problems with creativity and with minimal guidance while maintaining a good balance between long and short-term planning
? Supports PM with needed information and ensures that the installation of interior is done according to layout & installation guidelines
? Cross checks IPS-delivery dates with construction schedule and ensures that dates are in line with PM needs and on site conditions
? Ensures that missing/extra interior is ordered/cancelled on time
? Plans activities and projects well in advance and works according to routines
? Proactively monitors possible risks and acts on them appropriately
? Follows up against deadlines and milestones & has a solid overview over all projects
? Regularly updates internal systems, ensures correct project data and follows up on discrepancies
? Conduct regular checks/evaluations on maintenance together with FM
? Understands the obligations and responsibilities of the position held and acts accordingly
? Shows passion and enthusiasm in the daily work & is motivated in achieving targets and common goals
? Coping well with heavy workload and prioritises tasks in an efficient way
? Acts as a role model and shares knowledge with others
? Pro-actively seeks work related information to increase cost, quality and efficiency
? Handles furniture orders for all offices in the market

Qualifications

  • Strong knowledge of building materials and interior.
  • Project management. . Teamwork.
  • Knowledge in MS Office, more specifically Outlook, Excel, PowerPoint and MS Teams.
  • Can understand, read, speak and write English at an advanced level
Additional Information

Required Experience :
  • Relevant experience within NCG or Logistics
  • Retail Construction and/or Facility Management background is meriting.
  • Experience from setting and implementing NCG Strategies.
