Job Description

JOB PURPOSE:
To support the Team in designing, developing, implementing and improving processes for efficient and effective service delivery in the areas as per the role and domain operational function.
To act as the Subject Matter Expert in the relevant domain, support the Team in achieving the service delivery, also support on transitioning of processes from FPIG to Shared Services, transfer knowledge to the team members and troubleshoot operational problems / issues by working closely with the teams both in Shared Service and FPIG countries.
Role based operational domain function and related scope:
Project Supporting - Pricing, Document control, Project plan and RFP Creation KEY ACCOUNTABILITIES:
BOM activities including additional quote creation in CRM. (Pricing, Consolidation and Conversion):

  • Conversion from Client BOQ to FPI BOQ
  • Consolidation of various BOQs / Documents in excel.
  • Handling of projects < $5M and < 1-year project duration.
  • Preparation of quotation which are < 50 lines per request.
  • Add components in the excel format, based on the customer additional requirement.
  • Update the existing order rates & arrange missing prices from costing, to furnish the complete additional quote, based on the requirement from projects / customer.
  • Responsible to ensure that the received RFQ's / Add. purchase orders are properly logged in the CRM.
Documentation (VDRL, MRB & Generate project specific reports):
  • Request various documents from different teams and submit it to the customer for approval. (VDRL)
  • Perform quality checking of all received and transmitted documentation and verify transmittals for every document before submission. (VDRL)
  • Receive, distribute, monitor and log all documentation for the project and manage post revisions to appropriate documents.
  • Implement and maintain established document procedures.
  • Handling of documentation for the projects are having non-engineering and municipal requirements.
  • Update and maintain hard copies, retrieval activities, maintain databases of project information in order for the project team and client to refer.
  • Provide support in locating reference files in the database.
  • Arrange and submit the project documents including electronic copies i.e CD, USB etc. (MRB)
Project Plan:
  • Delivering the project plan in MS Project, based on the business requirement for the ongoing projects.
  • Co-ordinate with various teams to collect required documents and update the progress on regular basis.
  • Creation of S-Curves.
RFP / MR Creation:
  • Ensure Blanket order are matching with the customer PO / Site call off.
  • Ensure the mandatory documents i.e. CRSD, SS Product Drawing for non std. items etc are available along with the add. PO / site call off.
  • Prepare the RFP form and create order pack with necessary attachment in the assigned tool.
  • Distribute the order pack to the SOP Team and make sure the order is processed on time.
  • Prepare the MR in ERP LN based on the project team's requirement and make sure the Purchase Order is processed to the supplier.

External: Business Stakeholders globally, Clients (VDRL Requirement Only) JOB RELEVANT INFORMATION (BOUNDARIES & DECISION-MAKING AUTHORITY):
  • Processes supported: As Per Operational Function and Domain Scope
  • Countries supported: GCC, Asia, Egypt, Spain and Netherlands
  • Performs tasks as per Standing Operating Procedure of the Project Support team.
  • Works under the direct supervision of the Team leader and the support and guidance from the Global Planning & SSC - Project Support Team Manager.
  • Collaborates with members of the team.
Skills QUALIFICATIONS, EXPERIENCE, & SKILLS:
Required Qualifications:
  • Bachelor's Degree in Arts / Science / Engineering
Preferred Experience:
  • 1 year of experience in Manufacturing Set-up or a Global Shared Services
  • Manufacturing / Engineering services / KPOs industry experience preferred.
  • Experience working for project team as a Document controller / Project Coordinator / Planner.
Job-Specific Skills:
  • Experience using Infor LN / CRM tool / Prima Vera or Ms Project.
  • Master in MS Office. (min. Excel / Words)
  • English Fluency
  • Ability to build relationships within the department and beyond
