Job Description


Role Summary
The candidate will provide para-legal, data analyses, and administrative support to the WSP Global Legal Team and, under the direction of the Global Legal Team, to the Global Procurement team global professional services company. The candidate must be detail-oriented, have exceptional administrative and organisational skills and must have excellent written and verbal communication abilities in the English language. The role would be reporting to the India Head of Legal, Compliance & Ethics.
Duties & Responsibilities A) Global Procurement Support

  • Providing para-legal and administrative support to Global Legal & Procurement teams;
  • With a view of better tracking and managing the agreements WSP Global signs with its Global Suppliers (such as start and end dates, key contractual risks and compliance with WSP internal policies and with data protection legislation), the candidate would - under the direction of a member of the Global Legal Team - be supporting the Global Procurement team in the development of the recently created Procurement Agreements database. Some of the tasks would include:

  • Regrouping all Global Procurement Agreements into a central repository location
  • Organising the central repository location in a consistent and agreed format
  • Looking into each agreement to identify the information to populate the defined fields within the database
  • Work with the Global Procurement team to support them in the general Global Procurement contracts management tasks (involving the database entries, filing of signed documents, etc.)
  • Assist with Global Procurement review requests processes and including managing the various questionnaires and forms to be distributed to various stakeholders
  • Support with the upcoming migration of the data to the new Horizon-Oracle-ERP procurement supplier platform when it comes into service
  • Support with global suppliers screening using Exiger tool

  • Responding to requests regarding contractual documentation and other related documents
  • Gathering data as instructed by Procurement Team and, or Legal Team
  • Send emails and follow-up for responses

B) Global Legal and Compliance Processes Support
  • Data collection and reporting support using software platforms, Power BI, Excel and other various tools.
  • Administrative support, general, using Word, Excel, PDF, Microsoft Teams and other platforms
  • Development and maintenance of various legal department templates
  • Updating, organizing, and maintaining various material on department SharePoint(s) and Teams
  • Risk management and project delivery initiative and process support, as needed

C) Other duties as designated by Managers, such as:
  • Record keeping and filing of electronic documents
  • Prepare and format procurement, legal and management reports
  • Respond to administration related queries
  • Manage process for execution of documents in line with company policy
  • Liaise with various stakeholders relating to performance of this role
  • Conduct follow up calls with colleagues to discuss review comments, where required
  • Be available for occasional evening or early morning calls with colleagues (some will be based in London (UK), Montreal and Vancouver (Canada))
  • Input, upload and maintain database and track progress;
  • Perform review efficiently and on time.
  • Legal research

Minimum Qualifications
  • At least three (3) years of professional experience (or equivalent educational experience) in management of government or commercial contract compliance, licensing, business ethics, or similar regulatory compliance and/or procurement matters
  • Ability to work as a team member and collaborate with others within the department with customer service approach to working with other departments
  • Must have excellent communication skills, be able to type, and be well versed in Microsoft Office Programs such as Teams, Word, and Excel, Access (Access is a bonus but can be learnt with use)
  • Strong attention to detail and organizational skills
  • Working knowledge of Power BI
  • Ability to handle multiple projects in a fast-paced environment with time-sensitive (and confidential) workloads

Preferred Qualifications
  • Previous legal, Procurement or compliance department experience
  • Experience in Engineering and/or Construction industry would be a bonus but not absolutely necessary
