What this job involves

We are Looking for an Help Desk Executive who can Jointly handle the soft service of the Premium Residential site.

  • Shall act as second level in-charge of the premises.
  • Coordinate all work requests coming in through mail/phone/paper regarding the services provided to the client.
  • Coordinate for daily attendance and raise concern to SPOC / PM in case of shortfall.
  • Dispatches all work orders to concerned SPOC.
  • Collects all closed work orders to close the calls.
  • Prepare reports based on the data collected, through produced work orders, for the Client.
  • Prepare attendance reports.
  • Prepare MMR / DMR for review
  • Receive and answer all incoming calls/mails/papers reporting complaints or work requests.
  • Log in the call through the mygate complex software which in term generates Job Cards.
  • Dispatch these job cards to the concerned SPOC.
  • Receive all completed work orders and close the call.
  • Set up reports with all collected data gathered from the work orders to the Client as well as for controlling, transparency and information purposes.
  • Know current Safety Regulations and pass information to all PM & SPOC for implementation.
  • Respond to emergency call-in situations.
  • Report to PM for any complications on specific jobs/ equipment to Operation related issues.
  • Ensure all employees reporting as per schedule.
  • Obtain client feedback on services once in a week.
  • Always maintain professional appearance.
  • Obtain MOM of all scheduled meeting with clients and operation team.
  • Maintain the confidentiality and security of all data and information relating to the facility.
  • Collation of data required for MMR / DMR.
  • Ensure manpower deployment as per prescribed duty roster schedule.
  • Ensures to check and respond to all e-mails.
  • Tracking customers complaint and following it up till closure.
  • Issuing of stationery, parking stickers.
  • Updating of data in Overview and evolution tool.
  • Maintaining antecedent and other documents pertaining to employees deployed at site.
  • Emailing Circular sent to residents from association.
  • Circulating TNEB payment notice to residents.
  • Issuing access cards and maintaining records of the users.
  • Maintaining Housekeeping/Technicians/Security attendance sheets.
  • Assisting association during the time of election of Executive Committee.
  • Maintaining domestic water load and sewerage water load detail's summary.

Education and Experience

Any Bachelor's degree. you'll need between Two- and Four-years' experience in Facility (OR) Property Management. A working knowledge of any major vertical industry will also be very helpful.

An eye for detail

You'll have an eye for detail and an ability to analyse qualitative and quantitative information - and translate this into strategic deliverables.

Great organisational skills

You'll have great time management and organisational skills and be good at meeting deadlines in a fast-paced work environment and adapting to your team's or client's changing requirements.
