Site Name: Bengaluru Luxor North Tower Posted Date: Jun 1 2023 Job Purpose: The role is a fully dedicated resource on Grants and Donations and potentially other OCMO activities. The role is responsible for monitoring the evolution of grant requests from A to Z through G&D portal(s), tracking potential issues with internal stakeholders and maintaining metrics, KPIs and archiving up to date. The role will be engaged with technical, coordination and administrative aspects of managing grant requests for both Pharma and Vaccine. The role will also be responsible for support on G&D to the Business Owners submitting grant requests, ensuring complete documentation and archiving as well as following up the implementation of the management monitoring plan. The role supposes fully mastering the G&D portal(s) and archiving systems. The role will also participate in supporting some OCMO activities, depending on the needs. Key Responsibilities: Coordinating and managing Rx and Vx grant requests and ensuring appropriate archiving of the documentation. Ensuring the following tasks: Creating new User (BO / GOA) profiles in the portal(s) - managing corresponding user forms Entering comments / information on the CC / WBS and the grant of authority Checking the information on recent annual revenue and asking the BO to request accurate AR from the RO if necessary. Uploading in / downloading from the portal documents received by the RO and the BO Supporting the coordination of the GDC meeting: sending invitations to BOs, uploading GDC minutes in the portal for the tracking of GDC decisions Completing cost center information per request: linking CC to the request and encoding new CC if needed Routing the requests approved by GDC to appropriate BO / GOA approvers. Ensuring the upload in the system of signed contracts / Adobe sign contracts for BO/GOA signature when needed Applying appropriate status to ensure the requests are moving forward in the system. Assisting the BOs in the different tasks related to the process of grants and donations: helping them completing appropriate forms like the checklist and the TPRM, answering questions on the requesting organization, the requested budget, the activity to be supported, etc. Assisting BOs and other portal(s) internal users Maintaining an excel file for tracking new & ongoing requests. Extracting portal reports (PBI) and maintaining KPIs Supporting the grants payment process Supporting the implementation of the new integrated portal and its endorsement by users Following-up the implementation of the Management Monitoring plan and conducting defined quality control check Supporting the maintenance of the Grants and Donations Risk register upon need OCMO Services: Any additional admin related support as required and feasible within the OCMO group. Education: Bachelor\'s Degree (Preferred Life sciences or Medical background and with experience in Admin support) Experience Required: At least 6-8 years of experience in coordination activities Experience in Project Management Experience in Pharmaceutical company environment and specifically in matrix organization Experience with portals, IT systems and keen to learn new systems and processes. Good communication skills Agility and good learning skills Knowledge & Application: Experience working in highly matrix environment across a broad range of functional areas.
