RESPONSIBILITIES DESCRIPTION Facilities & Real Estate Group Plans, controls, and directs facilities management activities such as site location and acquisition, right-of-way negotiation, building and land acquisition and disposition, space leasing, property management and maintenance of properties, including all labs and offices outside of manufacturing locations. Learn more about our Featured solutions here: Key Responsibilities and Competencies The said position requires a person to be well versed with SEZ norms, documentation, liaising with consultant, SEZ officer, vendor, etc. Oversee the SEZ day-to-day operations and ensure that all Likewise, you'll strive for continuous improvement in the process. . Should be able to handle the SEZ process on asset inward/outward, exception management, . Asset management excel and tool. . Documentation maintenance (invoice, BOE, Delivery Challan, benefit, non-benefit material) . Material movement within warranty and beyond warranty . Material inward post working hours and on weekend. . Ensures that all relevant financials by are/country, building and projects are aligned with budgets, compliance, and specific timelines. . Work together with the Finance Manager to prepare annual budgets, manage, and report on monthly operating expense for the region versus budget, including providing forecasts. Space and Occupancy . Manage all new space requests with our customers by consulting with them, documenting these requests and progressing through the Review, . Manage the quarterly headcount review process . Embed space and occupancy changes Managing transportation for 1000 Employees on daily basis . Single point of contact for BCP management . Amendment of Routing verification, validation, and saturated cab deployment. Customer Satisfaction Related . Measuring and taking appropriate action on Login Delays through Operational Daily Proficiency Report. . Ensuring ensure on-time Login and back up cab arrangement in case of breakdown of cabs or drivers' negligence. . Arrangement for Monthly Transport Meeting with Process Managers and Team Leaders - department-wise to ascertain transport-related issues and level of expectation and to educate employees on the transport policies and procedure and proper flow of a request through proper channel. . Amendment of daily Feedback, Suggestion, and Complaint tracker and action on the same within Safety & Security Related . To ensure amendment of Daily Escort Security Service Confirmation for each trip. . To ensure amendment and fulfillment of Daily cab health checkup, & Escort Guard Background Check. . To visit accident or incident spot and ensure fulfillment of the accident or incident report with a case history. . To ensure Termination of drivers involved in offense incident. Escort guard & Driver induction based on their background verification. . Optimization of the routes by proper clubbing within the company policy & ensuring employee satisfaction. . Ensure amendment and fulfillment of Daily Trip Sheet Audit. . Ensure in-time submission of MIS Report. . Ensure submission of bills related to Transport Department timely with approvals to the finance department. Ensure proper route execution. . Ensure all transactions are supported and serve Objective Evidential Aspect. . Cost optimization by studying trends of cab utilization and ensuring maximum utilization of cabs. Leadership and Internal Team Management . To ensure proper handover and take over process is carried out between the relievers. . To ensure planned leave of the team and coverage for the same. . To ensure the team is following a proper escalation matrix to avoid conflicts. . To ensure the smooth operations are carried out and the proper strength per shift in accordance. . To ensure dealing with people (Employees, Management & Vendors) are done in a professional manner. . To understand the work pressure of the team and to suggest overcoming the work pressure by proper distribution and simplification of workflow. . To understand the team's grievances and sort them by meeting them on One basis. . To prepare the team for the Monthly Management Review meetings. Vendor Management Related . To ensure Daily duty roster is sent with the leave coverage of Vendor Staff . To conduct a weekly operational review meeting . To understand the work pressure of vendor staff and to suggest overcoming the work pressure by proper distribution and simplification of workflow. . To keep the Vendor Staff motivated towards work and educate the firm's expectations, policies and procedures, and the objectives of their presence and get maximum deliverables. . To understand the Vendor Staff's grievance and address the issues related to their Vendor management in a professional manner. . To follow up on transport-related issues and resolve them in a timely fashion. Qualification and Experience Required i. Any Graduate with 7 to 9 years of work experience in handling admin, facilities, transport (end to end) in an ITES/BPO Industry. ii. Should have extensive working knowledge of MS-Office (MS Word, Excel & Power point) iii. Good oral and written communication skills iv. Possess the ability to motivate and maintain effective working relationships with employees and partners v. Excel working in a fast-paced entrepreneurial environment.
