Job Title : Executive Assistant This role serves as the administrative and functional point person for the Director\xe2\x80\x99s corporate and personal matters to ensure smooth functioning of activities with an entrepreneurial approach to the daily management of the business. Requires a desire to learn and expand responsibilities, this postion will have to multi-task in order to handle a multitude of short and long-term projects. The person is required to function as liaison among the office of the Director, his Executive Committee and Business Unit Heads. Essential Duties & Responsibilities:

  • Maintain calendars \xe2\x80\x93 arrange, coordinate and prioritize complex scheduling and logistics.
  • Provide telephone coverage \xe2\x80\x93 answer executive phones, take accurate messages, know executive\xe2\x80\x99s whereabouts at all times, handle urgent calls with appropriate judgment.
  • Arrange (including selection of date, time, and location) internal and external meetings.
  • Arrange and Assist in travel requirements of the Director, coordinate with the concerned to ensure necessary arrangements are as planned.
  • Compose and type agendas and correspondence for special events, board meetings, committee meetings and development activities.
  • Coordinate meetings, prepare reports and other confidential materials, arrange travel, manage expenses. Prepare expense reports.
  • Arrange special meeting facilities; send meeting confirmation emails; prepare and distribute meeting materials.
  • Prepare various materials when requested, using PowerPoint, Word, and Excel.
  • Handle special projects for the Director
  • Facilitate communication between Directors and heads of the departments.
  • Handle financial and accounting matters for the Director with confidentiality.
Desired Skills & Qualities:
  • The primary skill is to have an extraordinary organizational ability to manage the Director\xe2\x80\x99s office.
  • The candidate will have to be very flexible and possess outstanding problem solving skills.
  • Must be able to communicate articulately, clearly and concisely (verbal and written) and know what, when and how to communicate depending on audience and subject matter
(sensitivity and timing).
  • Additionally, the candidate should be able to maintain the highest level of professionalism when speaking with the stakeholders on behalf of the Director and provide him with any backup on the inquiry whenever possible prior to delivering the message to him.
  • As a gatekeeper to the Director, this role will redirect inquiries to other departments whenever possible and ensure they are followed through to completion.
  • The ideal candidate must have the ability to operate independently and collaboratively and have a strong, dynamic working style and collaborator and a team player.
  • The ideal candidate must have the ability to think strategically, see the \xe2\x80\x9cbig picture,\xe2\x80\x9d recognizing impact of decisions on the operation and company and pay attention to details.
  • Foresight - The ability to anticipate what is to be done on the Director\xe2\x80\x99s behalf and how he wants it accomplished.
Job Type: Full-time Salary: Up to 75,000.00 per month Benefits:
