Position Summary:
This position will be primarily involved in Auditing invoices for compliance with MSA and Business Guide, responding to queries from internal and external users of the legal invoice payment system (Passport) and serving as daily support to LBS Operations. The incumbent will interact with all levels of internal Legal professionals and external law firms billing administrators and lawyers. This position will provide primary support to EMEA, US, LATAM, APAC, and NAMER regions based community and work to streamline/improve current processes for the local professionals.

Primary Responsibilities:

  • Daily Passport Invoice Audit in Junior and Senior queues to identify violations to the MSA and Business Guide and adjust invoices accordingly within established SLAs;
  • Review, assess attorney response and approve invoices in the Stale (aged submission) queue;
  • Generating daily, weekly and monthly audited invoices and savings reports;
  • 4th party/local counsel invoice review, communication with firms to obtain copy of 4th party/local counsel invoices and final assessment, approval or rejection of the line item;
  • Daily allocation of volume of invoices to be audited;
  • Working closely with internal lawyers and external law firms to resolve queries related to invoice adjustments;
  • Responding to law firms and internal lawyers inquiries promptly and accurately;
  • Generating monthly audited invoices by Junior and Senior queue report;
  • Generating monthly stale approved invoices report;
  • Generating 4th Party/local counsel charges report;
  • Supporting daily activities for the Legal Billing Support Operations, that include but is not limited to:
  • Proactively providing advice to external law firms and resolving billing issues through mailbox inquiries;
  • Proactively providing recommendations on system and process changes to improve invoice processing;
  • Back-up for the team on processing of PDF invoices received from law firms for payment processing;
  • Support system user acceptance testing and Passport releases on an as-needed basis;
  • Assisting management with ad-hoc requests.
Position Requirements
  • 3-5 years\' experience in invoice processing and compliance quality assurance, preferably within a law firm or large corporation;
  • Legal invoice experience preferred;
  • Degree or significant previous equivalent work experience is preferred;
  • Excellent organizational skills, attention to detail concentrating on accuracy, efficiency and proven ability to work independently and competently handle multiple responsibilities with a high degree of accuracy, in a high pressure environment
  • Excellent computer navigation skills and excel using Pivot tables and v-lookups
  • Ability to manoeuvrer through multiple systems; Passport and SAP to mention a few;
  • General understanding on SAP support protocols;
  • Clear communication skills, both written and verbal;
  • Periodic updates of SOPs and process documentation and controls and risk focused;
  • Ability to work in complex environments with a diverse range of stakeholders within JPMC Business Community and outside legal vendors;
  • Good understanding of accounting concepts such as G/L accounts and Cost Centres;
  • Knowledge of VAT rules within the supported regions;
  • Sound judgment and quick decision making skills;
  • Exposure to project management & process improvement techniques will be an added advantage;
  • Consistent and exceptional team leadership and the ability to continuously improve operational processes and controls
  • Proven track record of meeting deadlines, prioritizing deliverables, showing initiative, thinking critically and strategically and clearly communicating with internal and external client;
  • Quick learning abilities and able to get incorporated to daily activities while training; and
  • The position hours of operations are evening/night shift India hours (NY EST Time).
