Roles and Responsibilities of a Zoho Administrator (Zoho People & Payroll)
1. Zoho People Administration
? System Configuration & Setup
Configure company settings, departments, designations, locations, and organizational hierarchy.
Customize forms, workflows, approvals, and automation rules.
Manage employee lifecycle configurations (onboarding to offboarding).
? User & Role Management
Create and manage user accounts, roles, and permissions.
Assign appropriate access levels based on job functions.
Set up organizational hierarchy and reporting structures.
? Leave & Attendance Management
Set up leave types, holiday calendars, and leave policies.
Configure attendance settings including shift scheduling, biometric integration (if applicable), and remote check-in/check-out.
Monitor attendance data and resolve discrepancies.
? Time Tracking & Timesheets
Configure timesheet policies and project allocations.
Enable time logs and approvals for timesheet submissions.
Monitor project hours and generate productivity reports.
? Performance Management
Set up appraisal cycles, KRAs/KPIs, and goal-setting modules.
Manage self-appraisal, peer reviews, and manager assessments.
Support HR with analytics and performance reports.
? Employee Self-Service Portal
Maintain and optimize the employee self-service experience.
Ensure forms, documents, and company policies are accessible.
Manage notifications, announcements, and internal communication settings.
2. Zoho Payroll Administration
? Payroll Configuration
Set up payroll components: earnings, deductions, bonuses, reimbursements, etc.
Configure tax rules, professional tax slabs, and compliance settings (PF, ESI, TDS, etc.).
Integrate Zoho People with Payroll for seamless employee data sync.
? Employee Compensation Management
Manage salary structures and revisions.
Handle pay cycles, employee-wise payroll preferences (e.g., bank account updates).
Upload and validate employee investment declarations.
? Payroll Processing
Run monthly payroll, validate inputs (leaves, attendance, expenses), and generate payslips.
Review payroll summary and reconcile reports.
Handle payroll corrections and re-runs if necessary.
? Compliance & Statutory Filings
Ensure timely generation and filing of statutory reports (PF, ESI, TDS, Form 16, etc.).
Download and distribute compliance documents to employees.
Coordinate with finance/accounting for remittances.
3. General Responsibilities
? Reporting & Analytics
Create and maintain custom reports for HR and Finance teams.
Automate scheduled reports (e.g., payroll summary, leave balances, attrition rates).
? Training & Support
Provide user training for HR, finance teams, and employees.
Serve as the primary point of contact for system-related issues.
Liaise with Zoho support for advanced troubleshooting.
? System Maintenance & Upgrades
Keep the system up-to-date with new features or updates released by Zoho.
Monitor system performance, data integrity, and backups.
Test and implement new features in sandbox before live rollout.
? Integration & Data Management
Integrate with third-party tools (e.g., accounting software, biometric devices).
Perform data imports/exports as required.
Ensure data security and GDPR/HR compliance.
? Optional (Depending on Organization Size)
API Management for custom workflows.
Automation with Zoho Flow/Deluge scripting.
Custom module creation for organization-specific processes.
Job Type: Full-time
Pay: Up to ₹70,000.00 per month
