For this role we believe you have Minimum of 5 years of experience from a managerial position. Minimum of 3 years of experience managing and coordinating with external service providers

Proven skills in developing people and provide support, coaching, training, and career direction to others. Ability to communicate confidently and clearly in the local language in the unit as well as basic English. Experience in a facilities management organization, preferably in a high-volume retail sector. Preferably, an academic degree or professional qualification in Facilities Management (or equivalent) .Strong analytical skills. Proven experience in working with sustainability and the environment from a facility management perspective

  • Budget management: Thorough knowledge of how to plan, organise and manage costs and expenditures for a business or organisation.
  • Business risk management: Extensive knowledge on how to assess and mitigate risks in a business environment
  • Supplier management: Extensive knowledge of external service provider framework and coordination of external suppliers.
  • Project management: General knowledge of how to initiate, plan, execute, control and close a project.
  • Sustainability aspects in Facility Management: Good knowledge of how sustainability interacts with FM (energy consumption, water consumption, emissions, waste management, chemical products, IWAY, purchasing).
  • Facility Management scope and ways of working: Awareness of which services are included in the agreed FM service scope in Ingka and understand the FM delivery model, as well as the position of Facility Management within the Ingka business.
  • Facility Management business processes: Good understanding of the main FM business processes (e.g. work order management for urgent, planned and reactive maintenance + contract and supplier management) on site level
  • Technical knowledge on buildings and equipment: High level technical understanding and experience in all aspects of a retail building and connected equipment as well as understanding of FM asset management (maintenance and repair history, reinvestment planning)
  • Facility Management hard (technical) services: General knowledge of how to successfully deliver, organise and follow up on 'hard' FM services (technical maintenance, IKEA Food equipment)
  • Facility Management soft services: General knowledge on how to successfully deliver, organize and follow-up on 'soft' FM services (cleaning, pest control, snow removal, waste management etc.)
  • IT tools relevant for Facility Management: General knowledge of all relevant IT tools within Facility Management
  • Good knowledge of IKEAs corporate identity, core values and vision of creating a better everyday life for the many people, to ensure right representation
  • Negotiating: Explores alternatives to reach outcomes acceptable to all parties.
  • Leading others: Demonstrates general leadership ability and effectiveness.
  • Driving performance: Provides guidance and feedback to maximise performance of individuals and/or groups.

Key responsibilities (title) Your responsibilities

Key responsibilities (text) Lead and manage all Facility Management (FM) aspects in one or more specific units to optimize the value and efficiency of each property in a sustainable way according to the real estate scope in Ingka.
  • Lead and manage the execution of Ingka Facility Management (FM) within the unit(s) through the unit FM team
  • Responsible to make sure that each property is managed throughout its lifetime including safety, compliance, maintenance and improvement to ensure a safe and operational environment for the business, co-workers, customers and other stakeholders
  • Implement relevant property management innovations, digital and technical solutions that meet the needs of the business and the many people
  • Responsible to optimize the efficiency of each property in a sustainable way
  • Ensure that co-workers, service providers and external partners have up-to-date awareness and understanding of all FM frameworks, guidelines and initiatives
  • Responsible for all activities related to long term planning, budget estimation, execution, follow up, forecasting and reporting within the FM scope within the unit(s)
  • Implement and evaluate supplier contracts at unit level in alignment with internal governance structure for supplier contracts to improve efficiencies/costs/equipment and quality
  • Responsible for managing and coordinating external suppliers on unit level
  • Manage relationships with Business owners within the unit(s) to ensure business needs are met by collecting requirements, setting annual goals and periodic follow ups
  • Responsible for developing the team's competence, performance and ensuring a succession plan in the unit
