Job Description



Roles and Responsibilities

  • Looking after the day-to-day admin related work
  • Office Maintenance-Looking after entire housekeeping-upkeep of office area
  • Ensuring proper consumption of housekeeping consumables
  • Manage & maintain office furniture & equipment and ensuring maintenance
  • Responsible for Purchasing of Goods (Facility and Maintenance and Payment)
  • Responsible for requisition and maintenance of office equipment including furniture and fixture, telephone system, keys, etc
  • Maintaining vendors documentation (Housekeeping, Electrician, Plumber, Groceries, Stationary, etc.)
  • Responsible for ordering for office stationeries, including envelopes, letterhead, name cards
  • Communicate with internal and external parties on matters related to administration / office management activities
  • Renewal of License, Insurance, Contract, etc
  • Tracking the crockery, cutlery and glassware stock and records of purchase
  • Prepare agenda and arrange for meetings
  • Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software
  • File and retrieve corporate documents, records, and reports
  • Organizing and arranging for Birthday / Festival Events for the Corporate Staff
  • Prepare and maintain weekly budget for pantry expenses
  • Organize and keep record of daily office snacks
  • Arrange for reliever in absence of the Receptionist
  • Investigate complaints regarding housekeeping & maintenance service and equipment, and take corrective actions
  • Maintaining record of Staff Room and keep track of the payments of their monthly rent, contract renewal, etc.
  • Keeping record of company vehicles and their maintenance
  • Tracking the stock and timely issuance of linen and uniform for new joinees
  • Maintaining the job responsibilities registers for all departments
  • Arranging for desk and basic stationeries for the new joinees and making them aware of the Company Policies
  • Maintaining record of the company assets like laptops, sim cards, mobile phones, etc, provided to the employees
  • Provide secretarial / administrative support to the Managing Director
  • Arrange for tickets and hotel bookings for business travels
  • Assist in planning and preparation of meetings, conferences and conference calls
  • Keep check on, sort and distribute the incoming correspondences for the Managing Director
  • Maintain the general filing system and file all correspondence
  • Look after the payments of Credit Card bills for the Managing Director and maintain records for the same
