Job Summary:
The Tender Executive is responsible for managing the complete tendering process -- from identifying potential tenders to preparing and submitting bid documents -- ensuring compliance with all client requirements and company standards. This role involves coordination with internal departments and external stakeholders to ensure timely and competitive bidding.
Key Responsibilities:
Tender Identification:
Monitor government portals, e-procurement sites, and private tender platforms for new tender opportunities.
Document Preparation:
Review and analyze tender documents (RFPs, RFQs, BOQs, drawings, and conditions of contract) to understand scope and requirements.
Bid Compilation:
Prepare and compile technical and commercial bids in line with tender specifications and ensure timely submission.
Coordination:
Collaborate with engineering, estimation, procurement, legal, and finance departments to gather required inputs.
Follow-Up:
Track the status of submitted tenders and maintain follow-up with clients/authorities for updates, clarifications, or results.
Compliance:
Ensure all tenders are compliant with relevant legal and commercial regulations.
Documentation & Reporting:
Maintain tender documents, submission records, and prepare MIS reports on tendering activities.
Vendor Management:
Coordinate with subcontractors and suppliers for rate collection, quotations, and necessary documentation when required.
