Role Responsibilities

The primary purpose of this role is to centrally coordinate and manage administrative activities for GFRM + RAA Management Team (MT) and their team members which include Calendar Management, organising Team Meetings & Gatherings, Visitor management, Vendor management, etc.

General Administration
  • Manage and coordinate GFRM + RAA MT's diary, including booking of the conference bridge, setting up video and audio devices where required.
  • Act as a gatekeeper for GFRM + RAA MT's diary to help prioritise numerous meeting requests and proactively reschedule as required based on prioritisation and urgency.
  • Where required assist in preparing travel itineraries, booking flights, transfers, accommodation, and handling of visa applications, etc. for the GFRM + RAA MT in line with the Bank's travel policies.
  • Coordinate with relevant parties to book meeting rooms, local transfers, access cards, etc. for GFRM + RAA Senior Management visiting GBS locations.
  • Organise and Schedule Team meetings and ensure availability of all relevant papers, documents, and presentations in advance of meetings.
  • Work cohesively with GFRM Scheme leads, RAA Senior Management / designate to consolidate presentation packs required for key meetings and submissions done in a timely manner.
  • Assist with distribution of consolidated materials and decks for meetings, including uploading to SharePoint and printing/collating of packs, if required.
  • Take minutes of meetings and assist Senior Managers with follow through of key actions within timelines.
  • Assist the GFRM + RAA MT in the creation or review of communication materials, as well as the management and consolidation of feedback from key stakeholders.
  • Assist GFRM / RAA Team with filing artefacts in the relevant repositories & maintenance of the same.
  • Assist with keeping the GFRM, RAA team's Bridge site up-to-date, to ensure information is accurate and enhancements and additions introduced in a timely manner.
  • Assist GFRM + RAA Senior Management with clerical and admin tasks as required.
  • Proactively maintain team distribution lists, central repository, and SharePoint permissions.
  • Coordinate office procedures for the GFRM / RAA team where required.
  • Partner with other administrators and other support staff in the location, region, and the broader network, to share knowledge and expertise, and assist with resolving issues.
