Job Description

The Stores & Purchase Executive manages procurement activities and inventory operations, ensuring optimal stock levels, cost-effective purchasing, and efficient warehouse management while maintaining quality standards and supplier relationships.

Key Responsibilities



Procurement & Purchasing



Source and evaluate suppliers for materials, goods, and services Negotiate prices, terms, and conditions with vendors Prepare and process purchase orders and contracts Monitor market trends and pricing for strategic purchasing decisions Conduct supplier audits and performance evaluations Maintain vendor database and supplier relationships

Inventory Management



Monitor stock levels and maintain optimal inventory levels Conduct regular stock audits and cycle counts Manage inventory turnover and minimize obsolete stock Coordinate with production/sales teams for demand planning Implement inventory control systems and procedures Generate inventory reports and analysis

Stores Operations



Oversee receiving, storage, and dispatch of materials Ensure proper storage conditions and warehouse organization Manage goods inward and outward documentation Coordinate with logistics providers for timely deliveries Maintain accurate records of all transactions Ensure compliance with safety and security protocols

Cost Management



Analyze purchase costs and identify cost-saving opportunities Monitor budget compliance and expenditure tracking Prepare cost analysis reports and recommendations Negotiate payment terms and manage cash flow impact Implement cost reduction initiatives Track and report on procurement KPIs

Documentation & Compliance



Maintain accurate purchase and inventory records Ensure compliance with company policies and procedures Prepare regular reports on procurement activities Handle documentation for customs and regulatory requirements Manage contracts and legal documentation Support internal and external audits

Quality Assurance



Inspect incoming materials for quality and specifications Coordinate with quality control teams for material acceptance Handle returns and replacements of defective materials Maintain quality standards for all procured items Document quality issues and corrective actions
