Job Purpose : The position ensures:
Managing the HODs Office.
Providing administrative and facilitating logistics requirements of the department.
Assistance with travel logistics of the staff.
Key Accountabilities : Fulfil all responsibilities in relation to:
Managing the HODs office.
Catering to the administrative and logistics needs of the department.
Liaising with external parties in the organization for induction and basic setup of new joinees in the department.
Travel logistics/ support for staff coming from HO.
Dept related tasks.
Job Duties & responsibilities :
HODs Office This includes managing the HODs meeting schedule (both internal & external), travel requirements, looking after credit card expenses and reimbursements of the HOD.
Department Secretariat This includes being one point contact for the department as and when the need arises within and beyond the organization.
Administrative & Logistic support Looking after the administration and travel needs of the department.
Dept related tasks Paying of vendor Bills related to the department and ensuring all vendor claims are paid and co-ordinating with GPS team as well as Finance team for the same.
Required Experience : Prior experience of at least 5 years in Secretarial duties and working experience with Senior Management is required.
Education / Preferred Qualifications : Graduate with additional specialization in Secretarial skills
IT related skills : Should be well versed in oral & written communication
