A successful candidate will liaise with various stakeholders such as Business heads, Finance, HR, employees, external vendors etc for the smooth functioning of the office. Excellent interpersonal and communication skills are necessary for maintaining effective relationships with senior management and employees. You will need to be a self-starter and go-getter with a strong operational background and outstanding task management skills. You will need to work proactively, autonomously and maintain discretion for the smooth functioning of the office. Office Administration Handle material movement (Global, Interstate, and Local) Order office supplies and research new deals and suppliers Maintain vendor relationships (Coworking Company, Courier Agencies, VISA,Travel Agencies, Accommodation, etc) Coordinate with Head of Operations to process requests from Senior Management & Colleagues Maintain office efficiency by planning and implementing office systems and procedures Maintain Health and Safety at Work(Fire Drill, etc) Arrange for Gate passes for People/ Assets Review Invoice Billing for Vendors Generate necessary reports and review at regular intervals with the Head of operations/Head of Org Asset & Logistics Management Maintain Asset Register and oversee its Purchase, Logistics and Storage Handling all procurements of the company and maintaining inventory control Event Management Managing all the requirements for the events of the company(Accommodation, Travel, Venue, Event, and so on) Travel Desk Manage the Travel Desk (Global, Interstate, and Local) Handle the travel/stay of employees and visitors Assist in Visa processing for employees Qualifications Bachelor's degree or equivalent 8+ years of experience in managing systems and procedures for office operations and administration Excellent Organizational skills Strong time-management and people skills, flexibility, and multitasking ability Advanced computer skills and experience with online platforms Experience developing internal systems Proficiency Microsoft Office, with aptitude to learn new software and systems Ready to commute within/outside the city on need basis Additional Information 24 days annual leave 4 volunteering days annually Day off for your birthday Pension contributions Medical insurance for self and dependants life cover and personal accident cover for self Seasonal social and charitable events Training and development Blended style and flexi working time Right tools for remote working
