Job Profile For our office in Pune (India), Wolters Kluwer is currently looking for a Senior Facility Management Associate with substantial and relevant experience in Office and Facility Management. The ideal candidate organizes the facility and the corresponding facility management administration in an efficient way and is able to manage processes and procedures according to corporate requirements, in order to ensure organizational effectiveness. Candidate must have experience in the areas of facility management vendor management, cafeteria management, security management, Health & Safety. He or she will take the lead and responsibility in proactively ensuring the safe and smooth running of the office operations, working closely together with the Facility Management team and other departments within the office Facility Management (FM) Must possess functional knowledge of day to day Facility Management operations Assist line manager in managing all FM related contracts (including renewals and terminations). Keep an up to date overview of all vendors and of the contracts we have with them. Follow-up on housekeeping, security, general office maintenance, lift maintenance, pest control etc Ensure that all office equipment is effectively maintained and operational. Carry out regular checks on all office equipment and FM related services to proactively avoid complaints. Follow-up on Facility & campus maintenance (gardening, parking, etc.) including plumbing, carpentry, masonry, etc. Ensuring smooth functioning of canteen & pantry services operations Liaise with vendors Frequently check office supply stock, reorder supplies when needed, according to the FM purchasing policies, track orders and check deliveries Follow-up any issues there may be with suppliers/vendors until a solution is found. Be the first point of contact for employees\' queries regarding facility management issues Co-ordinate with property management for all building/office related issues and try to solve them whenever possible. For more complex issues, escalate them to the line manager. Carefully check all FM related invoices, prepare trackers and follow-up with suppliers/vendors if needed. Welcome new joiners and visitors to the office. Make sure they receive all relevant FM related information and equipment and that they have a place to sit. Administrative Support Handle a wide variety of administrative tasks in supporting FM management and work on special projects, as they come along, within the scope of responsibilities. Maintain good filing systems for FM department Be aware of and carry out company office policies and procedures. Ensure accurate and timely (monthly, quarterly and annual) reporting to line manager. Travel and Meeting & Events (temporary) Explain procedures and travel policies to travelers and new joiners and make sure the policies are adhered to. Assist employees in organizing domestic & international business travel (transportation, stay, cash advances) Assist in arranging business visa and forex for travelers. Organize meetings, events, trainings, team building activities, internally and externally, as requested. Health & Safety (H&S) and Business Continuity Assist line manager in: Ensuring that the Pune office is compliant with all Health & Safety legal requirements in India, as well as with the Wolters Kluwer H&S regulations. Keeping evacuation procedures in the Pune office up-to-date and make sure they are known to all (employees and visitors) Liaising with ERT members and make sure the safety procedures are adhered to Organizing yearly evacuation exercises Executing and follow-up on all Business Continuity assignments Education: relevant bachelor degree or higher Experience: at least 3 plus years of experience in office and facility management, administrative support and H&S in an office environment. Experience of handling employee strength of 900 and more. Language knowledge: English (native speaker level for listening, reading, speaking and writing) Proficient in Windows: Computer literate and proficient using Microsoft Suite in MS Office (MS Excel, Word, PPT and MS Outlook, in particular) Work Mode : Work from Office - 5 days a week
