The Reservations Executive is responsible for managing all reservations inquiries, processing bookings, and ensuring that guest expectations are met from the first point of contact. This role is pivotal in maximizing occupancy, providing excellent guest service, and ensuring a smooth guest experience from the moment of booking through to arrival.
Key Responsibilities:
Handle incoming reservation inquiries via phone, email, and online platforms (MMT, Agoda etc.).
Process reservations promptly, ensuring accurate input into the booking system (PMS).
Communicate with guests to understand their requirements and recommend suitable room categories, packages, and offers.
Conduct Sales Tele calls and Collaborate with the sales and marketing team to manage promotions, seasonal offers, and rate management.
Update room availability and rates in coordination with the Revenue Management team.
Monitor booking patterns to maximize revenue and minimize booking errors or discrepancies.
Ensure adherence to the agreed pricing and discount structures with OTA partners like Make My Trip (MMT).
Manage guest requests, special needs, and other inquiries related to the reservation process.
Coordinate with other departments (Front Office, Housekeeping, F&B) to ensure seamless guest service.
Maintain accurate records of reservation data, cancellations, and modifications.
Assist with generating reports for occupancy, revenue, and forecasting.
Provide support in resolving guest concerns or issues related to reservations.
Ensure compliance with Coco Lagoon Resort's policies, including deposit, cancellation, and payment procedures.
Skills and Qualifications:
Bachelor's degree in Hospitality, Business, or a related field preferred.
Minimum 1-2 years of experience in a reservations or guest services role, preferably in a resort or hotel.
Proficient in hotel management software (PMS) and OTA booking platforms.
Strong communication skills, both verbal and written.
Excellent organizational and multitasking abilities.
Detail-oriented with a focus on accuracy and customer satisfaction.
Ability to work in a fast-paced environment and handle high-volume inquiries.
Familiarity with travel agent commission structures and OTA pricing strategies is a plus.
