The Purchase Executive is responsible for sourcing, procuring, and ensuring timely availability of raw materials, ingredients, packaging items, and operational supplies. The role includes vendor coordination, stock monitoring, price negotiation, and maintaining purchase records in line with company standards and budget controls.
2. Key Responsibilities
A. Procurement & Vendor Management
Identify, evaluate, and negotiate with suppliers for raw materials, perishables, and consumables.
Ensure timely purchase of required items based on daily/weekly requirements.
Build and maintain strong relationships with vendors to ensure reliability and quality.
Compare quotations and negotiate for the best price, quality, and delivery timelines.
B. Inventory & Stock Coordination
Coordinate with kitchen and store teams for daily stock requirements.
Monitor inventory levels and avoid stockouts or overstocking.
Ensure
FIFO & FEFO
practices are followed in all storage areas.
Analyze consumption patterns and plan purchases accordingly.
C. Quality & Compliance
Ensure all purchased items meet quality standards and company specifications.
Check expiry dates, freshness, packaging conditions, and safety compliance.
Take quick action on complaints related to damaged or defective supplies.
D. Cost Control & Budgeting
Maintain cost efficiency by monitoring price fluctuations and negotiating competitive rates.
Support budgeting and cost-control initiatives to reduce wastage and unnecessary spending.
Track and report market trends for raw material pricing.
E. Documentation & Reporting
Maintain purchase orders, GRNs, invoices, vendor lists, and price records.
Track daily inward and coordinate with accounts for timely payment processing.
Maintain digital/ERP-based purchase entries for accuracy and transparency.
F. Logistics & Delivery Coordination
Follow up with suppliers to ensure on-time delivery.
Coordinate with transporters and outlets to avoid delays in supply.
Handle urgent purchase requests and emergency procurement efficiently.
3. Skills & Competencies
Strong negotiation and communication skills
Good knowledge of food ingredients, perishables, and operational supplies
Understanding of stock management and inventory control
Vendor management and relationship-building skills
Basic knowledge of GST, invoicing, and documentation
Ability to work in a fast-paced environment and manage multiple tasks
4. Working Conditions
Requires field visits and vendor location visits
Flexible to work early hours or late hours based on delivery schedules
May require coordination across multiple outlets or cities
