The purpose of the PMO Analyst is to support the Project, Programme or Portfolio Manager and their team in delivery including co-ordination, planning, control, reporting, analysis, and their insights, as well as supporting the Director of Business Solutions & PMO Methodology in the delivery of PMO initiatives. As a PMO Analyst, you will play a crucial role in supporting the successful execution and delivery of projects within our organization. You will be responsible for ensuring that projects are well-planned, effectively monitored, and aligned with business objectives. The PMO Analyst will collaborate with project managers, stakeholders, and cross-functional teams to maintain project documentation, track progress, and provide valuable insights that enable informed decision-making.

Duties & Responsibilities

What you\'ll do -

  • Project Planning and Governance
  • Collaborate with project managers to develop detailed project plans, including scope, milestones, timelines, and resource allocation.
  • Assist in establishing project governance frameworks, ensuring adherence to organizational standards and best practices
  • Monitor and enforce compliance with project management methodologies and policies.
  • Performance Monitoring and Reporting
  • Track project progress and performance metrics, identifying potential risks, issues, and deviations from the plan.
  • Generate and distribute regular reports to stakeholders, highlighting project status, key performance indicators (KPIs), and areas requiring attention.
  • Provide analytical insights to support decision-making and continuous improvement efforts.
  • Resource Management: Coordinate project resources, including team members and external vendors.
  • Assist in resource forecasting and allocation to ensure optimal utilization of resources across projects.
  • Monitor resource availability and escalate potential conflicts to project managers and leadership.
  • Financial Management: \xc2\xb7 Support project financial management by tracking budget allocations, expenses, and variances.
  • Collaborate with Finance and Accounting teams to ensure accurate financial reporting and alignment with financial guidelines. Risk and Issue Management:
  • Help identify and assess project risks and issues, proposing mitigation strategies in collaboration with project teams.
  • Maintain a risk and issue register, monitoring their resolution and impact on project outcomes.
  • Process Improvement : \xc2\xb7 Continuously evaluate PMO processes and methodologies, identifying opportunities for improvement and efficiency enhancement.
  • Work with stakeholders to implement best practices and foster a culture of continuous improvement.
  • Communication and Stakeholder Management:
  • Facilitate effective communication among project teams, stakeholders, and leadership to ensure alignment on project objectives and expectations.
  • Coordinate meetings, workshops, and status updates, capturing meeting minutes and action items.
  • Budget Tracking: Assist in monitoring project budgets and expenditures.
  • Keep accurate records of project-related expenses.
  • Alert the Project Manager to any budget deviations.
The Individual

What you\'ll definitely need -
  • Bachelor\'s degree in Business Administration, Project Management, or a related field.
  • Proven experience 3 years as a PMO Analyst or in a similar project management support role.
  • Familiarity with project management methodologies (e.g., Agile, Waterfall) and tools (e.g., MS Project, Jira).
  • Strong analytical skills with the ability to interpret data, identify trends, and provide actionable insights.
  • Excellent organizational and time management skills to handle multiple projects simultaneously.
  • Proficiency in using MS Office suite (Word, Excel, PowerPoint) and project management software.
  • Effective communication and interpersonal skills to collaborate with diverse stakeholders.
  • Detail-oriented and proactive approach to problem-solving. .
  • Project Management Professional (PMP) or PRINCE 2 certification is a plus.
  • Ability to analyze a range of complex data and make decisions based on analytical findings.
  • Strong coordination and administration abilities.
  • Good critical thinking and problem-solving skills.
  • Solid communication and interpersonal skills.
  • Ability to thrive in a fast-paced environment and work well under pressure.
  • Highly effective all-round communications capabilities.
  • Agile and quick to learn. A self-developer and of others.
  • Comfortable with, thrives on, change.
  • Ability to consult effectively and to implement.
