POSITION AVAILABLE IN PUNE: IMMEDIATE JOINING The Personal Assistant (PA) will provide dedicated administrative support to the executive, ensuring efficient operation of the office and supporting the executive in personal and professional tasks. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritising tasks in a fast-paced corporate environment. Key Responsibilities: Calendar Organise, maintain, and coordinate schedules and appointments to optimise the executive\'s time. Remind the executive of upcoming commitments and responsibilities. Communication Management: Screen and direct phone calls, emails, and distribute correspondence. Liaise with internal staff at all levels and interface with external clients and vendors. Draft letters, emails, and other documents on behalf of the executive. Managing Social Media Channels whenever necessary. Communicating to organise the PR on various fronts. Travel Arrangements: Plan and book travel, including flights, accommodations, and other logistics. Prepare detailed itineraries and ensure that all aspects of trips run smoothly. Meeting Organisation: Coordinate and organise meetings, ensuring all necessary equipment and materials are prepared. Record and distribute minutes or notes from meetings. Document Management: Create, process, and maintain documentation, including reports, presentations, and other important files. Manage databases and filing systems, ensuring that all information is accurate, up-to-date, and easily accessible. Expense Reporting: Prepare regular expense reports, ensuring accurate reflection of expenditures. Process invoices and liaise with the finance team for reimbursements. Research and Analysis: Conduct background research on various topics as requested by the executive, providing summaries or detailed reports. Event Planning: Coordinate and organise personal and professional events, including conferences, seminars, and social engagements. Project Management: Assist in the management and tracking of projects, ensuring that deadlines are met and progress is communicated to relevant stakeholders. Personal Errands and Tasks: Assist the executive with various personal tasks, which may include shopping, arranging personal appointments, or other personal errands as required. Confidentiality Maintenance: Handle sensitive information with discretion, ensuring that confidential information remains secure. Stakeholder Management: Foster good relationships with business and personal contacts, ensuring smooth collaboration and communication. Office Management: Ensure office supplies are maintained, including stationery, equipment, and snacks. Coordinate with other support staff and departments as necessary. Qualifications and Skills: Proven experience as a Personal Assistant or relevant role. Proficient in MS Office suite and other relevant software. Excellent organisational and multitasking abilities. Outstanding communication and interpersonal skills. Ability to handle sensitive and confidential information with discretion. Ability to work in a fast-paced, dynamic environment. Strong attention to detail and problem-solving skills. A proactive approach and the ability to think ahead and anticipate needs before they arise. Working Conditions: The PA may be required to work outside standard business hours depending on the executive\'s needs. Some travel may be required.
