is responsible for managing and executing order-related operations from receipt through delivery. This includes order entry, tracking, coordination with internal teams (like production, warehouse, logistics), ensuring accuracy of documentation, handling customer queries, and ensuring timely dispatch. The role requires strong attention to detail, communication skills, and ability to multi-task in a fast-paced environment.
Key Responsibilities
Receive / review incoming customer orders and enter them into the order management / ERP system accurately.
Verify order details: product, quantity, pricing, delivery schedule, shipping address, payment terms etc.
Generate order confirmations / acknowledgements to customers.
Coordinate with production / warehouse to ensure product availability and schedule order fulfilment.
Liaise with logistics / dispatch to arrange shipment; prepare shipping documents (invoices, packing list, bills of lading / airwaybill, certificate of origin if needed).
Track order status and follow up internally & with external parties to ensure on-time delivery.
Handle order amendments, cancellations, returns, and credit notes as needed.
Maintain and update internal trackers, dashboards / reports (daily, weekly, monthly) of order fulfillment, delays, errors etc.
Ensure compliance with company policies, incoterms (if applicable), international trade regulations (for export orders).
Continuous process improvements: suggest ways to reduce errors, improve turnaround times, optimize shipping costs etc.
Qualifications & Experience
Education:
Minimum Bachelor's degree (Commerce / Business / equivalent) preferred.
Experience:
1-3 years (or more depending on level) in order processing, logistics, customer service or related field.
Experience with ERP / Order Management Systems is often required.
Exposure to export documentation and shipping / logistics is a plus.
Skills & Competencies
Excellent accuracy & attention to detail.
Strong organizational & time-management skills; ability to handle multiple orders / dependencies simultaneously.
Strong communication skills (verbal & written), for internal coordination and customer interactions.
Computer-savvy: good at MS Excel, data entry, generating reports; experience with order management / ERP software.
Ability to work under pressure and meet deadlines.
