: Office Secretary Reports to: Executive Assistant to Director Location: Chandigarh About the Role: We are seeking a highly organized and professional Office Secretary to join our enterprise. The Office Secretary will be responsible for providing administrative support to the office and managing day-to-day operations. The ideal candidate will have excellent communication skills, the ability to multitask, and a strong attention to detail. Key Responsibilities:
  • Provide administrative support to the office, including answering phones, responding to email, and managing incoming and outgoing mail
  • Greet visitors and direct them to the appropriate personnel
  • Manage the office calendar and schedule appointments as needed
  • Calendar Management
  • Prepare and distribute correspondence, including letters, memos, and reports
  • Maintain an organized filing system for all office documents
  • Assist with the preparation of presentations, reports, and other materials
  • Manage the office supply inventory and place orders as needed
  • Respond to customer inquiries and direct them to the appropriate personnel
  • Assist with the preparation of financial reports and manage accounts payable and receivable
  • Prepare and distribute meeting minutes and agendas
  • Assists in organizing and coordinating events, meetings and conferences
  • Provide general support to other departments as needed

Requirements:
  • High school diploma or equivalent
  • 2+ years of experience in a filing role
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint
  • Excellent written and verbal communication skills
  • Strong attention to detail and the ability to multitask
  • Ability to maintain confidentiality and handle sensitive information
  • Ability to work independently and as part of a team
  • Excellent organizational skills and the ability to prioritize tasks effectively
  • Professional demeanour and strong customer service skills
