Manage day-to-day office operations and administrative tasks.
Handle correspondence, emails, phone calls, and inquiries.
Maintain office files, records, and documentation.
2. Office Coordination
Coordinate with internal departments and external stakeholders.
Schedule and manage appointments, meetings, and calendars.
Organize meetings, prepare agendas, and record minutes.
3. Data Management & Reporting
Enter, update, and manage data in company systems.
Prepare daily/weekly/monthly reports as required.
Maintain databases, spreadsheets, and documentation.
4. Front Desk & Customer Support
Greet and assist visitors, guests, and clients.
Handle customer queries and provide appropriate support.
Manage reception area to ensure a professional environment.
5. Procurement & Inventory Management
Monitor and manage office supplies and inventories.
Coordinate with vendors for procurement and maintenance services.
Keep records of purchases and expenses.
6. Financial & Billing Support
Assist with basic accounting tasks such as invoicing, billing, and petty cash.
Support finance department with data collection and documentation.
7. HR & Staff Support
Assist with recruitment activities--scheduling interviews, maintaining records.
Manage employee attendance, leave records, and HR documentation.
Support onboarding and orientation of new employees.
8. Compliance & Record Keeping
Ensure all documents are updated and compliant with company policies.
Maintain confidentiality of sensitive information.
9. Technology & Office Equipment Management
Ensure office equipment (printers, laptops, etc.) is functional.
Coordinate IT support for troubleshooting issues.
10. Process Improvement
Identify gaps in office operations and recommend improvements.
Support management in implementing new administrative procedures.
