We are currently seeking an experienced professional to join our team in the role of Manager, HBEU Operational Management.

Principal Responsibilities:

Impact on the Business/Function

Delivery of work that follows guidelines and industry best practices \xe2\x80\x93 produce work that is in accordance with department guidelines, compliance regulations, policies and procedures regarding content and design, and industry best practices by understanding and applying them correctly, collaborating with colleagues and reviewing their work, and seeking advice from team leads, as necessary.

Typical Targets and Measures

  • Maintain records of actions and papers required from EU COO for all EU governance forums.
  • Positively impact internal stakeholders, through early identification and clarity of actions; early confirmation of papers / presentations due (and clarity of ask)
  • Timely delivery of actions and papers required from EU COO
  • To maintain close liaison between CAO onshore team

  • Index items to a high standard to ensure ease of identification in the future
  • Understand requests and the relative urgency. Prioritize accordingly to ensure responses are within a timely manner
  • Ensure accuracy of work, including around grammar and structure / layout of documents
  • Timely follow ups on actions pertaining to different meetings/ forums.
  • Respond to requests for support within agreed PLA SLA
  • Effective communication with stakeholders
  • Checking and updating the service catalogue
  • Ensure data integrity
  • Review details and ensure completeness of information
  • Develop and complete special projects to agreed dates
  • Deliverables agreed, governance and metrics in place to track and report progress
  • Continuous Improvement \xe2\x80\x93 driving excellence in people, process and systems to deliver value
Customers / Stakeholders

Governance reporting \xe2\x80\x93 enable team leads and managers to monitor delivery and improve communication with internal stakeholders through maintaining the EU COO governance tracker productivity reports.

  • Work with other colleagues in the team to share knowledge and experience.
  • Demonstrate qualities as a team player, working with other colleagues in the team.
  • Act as an excellent coordinator between different internal functions to achieve deliverables
  • Support, plan and attend collaborative work and in-house cross-training opportunities.
  • Develop one\xe2\x80\x99s own and team\xe2\x80\x99s training plan.

Operational Effectiveness & Control:

Policy adherence, risk and internal control

Ensure compliance with all Group, Group Service Centre (GSC), company and department policies and procedures economic or market conditions, legal and regulatory requirements, operating procedures and practices, management restructurings, and the impact of new technology and services

Typical Targets and Measures
  • Constantly update knowledge and understanding of all Group, Group Service Centre (GSC), company and department policies and procedures, raising questions and concerns with team leaders or managers, as necessary, and take personal responsibility for abiding by these, as required.
  • In line with the business/function managed ensure all elements of policy and standards (e.g. Global Standards Manuals, FIMs, BIMs, and DIMs etc.) are appropriately defined, communicated and managed.
  • Ensure that all activities are in line with compliance standards.
Management of Risk (Operational Risk / FIM requirements)
  • To abide by the Group compliance policy by containing compliance risk in conjunction with the relevant Compliance department. The term \xe2\x80\x98compliance\xe2\x80\x99 embraces all relevant laws, rules and codes with which the business has to comply.
  • To continually reassess the operational risks inherent in the business, taking account of changing economic or market conditions, legal and regulatory requirements, operating procedures, management restructures, and the impact of new technology in conjunction with the donor Group companies.
  • To ensure risks are administered effectively in line with the Group\xe2\x80\x99s Operational Management Risk Frameworks.
Requirements

Experience
  • Experience of working in a COO Office or Business Management function and have worked across multiple jurisdictions with a range of stakeholders.
  • Project, operational and people management experience at HSBC.
  • Continuous improvement and change management experience.
Expertise

Strong understanding of:
  • HSBC organization, and its strategy, structures and processes.
  • Design and coordination of processes.
  • Regional and local Market stakeholder management.
Skills
  • Excellent time management skill and ability to prioritize is required for the role.
  • Ability to analyze performance of different services and determine root cause.
  • Experience in set up of a new function or project/process migration.
  • Excellent skill is required to lead meetings of diverse forums with minutes, action follow ups, etc.
  • Able to understand the needs of different businesses.
  • Demonstrate a high attention to detail, with proven problem-solving ability in a deadline-driven environment.
  • Able to map processes, and draft and implement procedures.
  • Analytical and highly numerate; highly proficient in Word, Excel, and PowerPoint.
  • Good oral and written communications skills.
  • Working knowledge of Risk tools, SharePoint is desirable.
  • Excellent time management skills, with the ability to set priorities and manage deadlines.
Candidate with less relevant experience or skills may be offered a lower Global Career Band than stated above.
