The role in a nutshell:
This role will manage the full payroll process including receiving, validating, end to end payroll processing completing payroll related data activities on behalf of Safeguard. The role will also take full ownership of all client communications, ensuring timely responses, follow-through, and resolution of client inquiries. In this role, you will be responsible for collating and verifying data from operations team, assisting them with the data upload queries, and executing data transfers in related company tool and platforms. Ultimately, a successful Local Market Payroll Specialist will be responsible to assist the client in calculating, maintaining accurate payroll processing of client data, up to date in internal payroll systems and usable information in related company tool and platforms.

How you will make a difference:

  • Establish, maintain, and develop strong and trusted client relationships that result in high client satisfaction, acting as a primary day to day contact for assigned clients.
  • Answering general payroll enquiries, including advice on awards, policies etc.
  • Working closely with Client & Local Compliance partner
  • Collecting, calculating, and entering data to maintain and update payroll information
  • Compiling summaries of earnings, taxes, deductions, leave, disability, and non-taxable wages and reporting on for country specific payrolls
  • Ensuring accurate payroll transactions and payments
  • Preparation and payment of all State and Federal tax obligations including Payroll tax, must be aware of Country specific nuances.
  • Preparation and timely delivery of pay slips and annual payment summaries
  • Maintaining payroll operations by following policies and procedures

  • Determining payroll liabilities by calculating employee federal and state income, social security taxes, employer\'s social security, unemployment, and workers compensation payments, applicable as per the country payrolls.
  • To ensure timely receipt and delivery of payroll data by payroll scheduled.
  • Engagement with local in-country payroll providers to meet delivery timelines while minimizing escalations.
  • Responsible for timely and accurate submission of all payroll data to required partners and/or clients
  • Responsible for on-time receipt and delivery of net pay and payroll reports in line with agreed upon payroll schedules
  • Ensure reconciliation and validation of data according to predefined payroll processing procedures and standards
  • Managing inquiries from clients, internal regional service centers, and local offices via our case management tool, ensuring full resolution in line with company Service Level Agreements.
  • Develop and drive action plans and root cause analysis reports for issues, as required
  • Participate in the development of processes and procedures for the team following customer and business requirements
  • Detailed focus on quality, accuracy, and timeliness of payroll related activities as assigned
  • Adhere to SSAE16 compliance audit controls and requirements
  • Additional duties as required

  • Must be Hong Kong payroll experienced (At least 2 years)
  • Excellent communication skills; both written and verbal
  • Experience in managing multiple customers in a payroll/ HR.

  • Ability to develop a team of people i.e., share knowledge and expertise with colleagues and customers, coaching, development, ad hoc training
  • Demonstrable customer service skill
  • Well versed in understanding the client, data management and problem-solving skills
  • Professional fluency in the English language is essential, both written and oral

  • Analytically minded with strong attention to detail
  • Accuracy with record keeping and reconciliation.
  • Ability to work in a fast-paced pressurized environment.
  • Follow procedures and policies and keeps to schedules.
  • Payroll/HR/Finance/Systems background with an understanding of the core competencies of the payroll process i.e., Unity, CHRIS, Arthur and Specific
  • Strong excel skills, advanced level advantageous.
