We are looking for someone who understands and stays abreast of current immigration regulations to ensure compliance, possesses extensive experience securing work authorization for foreign national employees and has a genuine commitment to excellence. Role Summary Implement and executes mobility programs and services supporting employee short- and long-term transfers, assignments, country entry and domestic or international relocation. Advises on mobility policies and practices; gathers and completes required information and applications for processing. Facilitates immigration status applications and employment authorization for employees and candidates. Serves as partner and point of contact with counsel, government agencies and third-party vendors providing immigration, relocation and mobility support. Assists in communicating relocation packages; answers questions and resolves escalated issues from employees. Stays current with laws, regulations and procedures governing international mobility and immigration.
Key Responsibilities:

  • Track and monitor status of visas for all associates employed in the NAM (USA & Canada )and proactively preparing for the next phase of each visa lifecycle. This includes but is not limited to F-1, H1 Cap sponsorship, L1A, L1B,L1 Individual Extension & L2 & H4 and permanent residency (green card) visas.
  • Will maintain US permanent residency (green card) cases, as needed including the PERM process, prevailing wage documentation, Internal Posting Notice, labor market recruitment and tracking.
  • Answer day to day employee inquiries related to immigration, travel & mobility in a timely manner.
  • Will be responsible for maintaining all the H1B petitions including annual H1-B lottery, extensions of current visas, amendments, and transfer petitions for new employees by filing the visa petitions in-house.
  • Prepare In-house documents and petitions for other visas including but not limited to F-1, L1, and dependent visas (H4, L2 etc.).
  • Will be responsible for maintaining the immigration compliances- employee immigration files, including Public Access Files, in accordance with the DOL/USCIS regulations, side immigration processes (visa status changes, terminations, PW changes etc.) ensuring compliance and accurate records and documentation.
  • Will be responsible to train the new hires/existing team members on the US visa processes to ensure business continuity and employee experience.
  • Will be responsible to create/update the existing visa process documents for each category, immigration intranet pages and immigration policy.
  • Will be responsible to perform ongoing maintenance and tracking/auditing of all visa and work permits in HRIS system (preferably Workday) to ensure lawful immigration status for all employees globally and ensure proper renewal/amendment notifications.
  • Will be responsible for tracking the visa costs (in-house applications) & invoices (vendor applications) for all US visa & green card petitions.
  • Will stay current on knowledge of laws, regulations, legislative changes, and procedures used in processing immigration cases and publish the same to internal stake holder.
  • Project manage the visa process and work with various stakeholders to compile accurate and comprehensive documentation to ensure each petition has the highest chance of success possible.
  • Work closely with 3rd party attorneys, Companys HRBPs, recruitment & managers on a regular basis to track and monitor progress of all applications, understand relevant action items, and keep parties informed of next steps and potential outcomes.
  • Preparation for Visa interviews: Assist the employees for their visa interview preparation. This will include, providing them company documentation, briefing on visa interview process. Collect the information on interview experience at the consulate. Observe rejection trends and apply learnings from the trends for future cases.
  • Research and Networking: As needed by the company research for Immigration processes for new geographies and consular procedures. Design document and implement the processes for new geographies.
  • Contract Management: Administration of contracts with relocation/Immigration vendor partners and timely renewal of the contracts due to expire following processes defined by the legal team
  • Stays current with laws, regulations and procedures governing international mobility and immigration.
  • Work with HR Business partners, Finance, HR Operations, legal team and managers to ensure a smooth transition for all assignees globally. This includes being partner to business team members and Business during assignment planning stage, visa and immigration process, relocation benefits administration, extensions if needed and up to the assignee repatriation

Minimum Requirements
  • Bachelors degree
  • 8-10 years of Immigration experience handling NAM Visas and Work permit applications
  • Exceptional customer service orientation
  • Excellent communication , oral ,written and interpersonal skills
  • Ability to interact effectively with all levels of management and team members
  • Highly organized
  • Demonstrated ability to multi task in a dynamic environment
  • Attention to detail and strong organizational skills
  • Ability to work independently and in a team
