Provide general administrative and clerical support to the HR department.
Manage and organize HR-related documentation, both physical and electronic.
Maintain and update employee records, including personal details, employment contracts, performance evaluations, attendance, leave records (e.g., sick leave, casual leave, earned leave), and other relevant data.
Assist with data entry into Human Resources Information Systems (HRIS) and Applicant Tracking Systems (ATS).
Prepare and format HR documents, reports, and presentations.
Manage the HR department's email correspondence and respond to employee inquiries in a timely and professional manner.
Schedule and coordinate HR events, meetings, and interviews.
Recruitment and Onboarding:
Assist with the recruitment process, including posting job advertisements on various platforms (job boards, social media).
Screen resumes and applications, and conduct initial candidate communication.
Coordinate with candidates and hiring managers to schedule interviews and assessments.
Assist with background checks and reference checks.
Prepare offer letters, appointment letters, and other pre-employment documentation.
Support the new employee onboarding process, including preparing orientation materials, setting up workstations, coordinating IT access, and conducting new hire orientations.
Serve as a primary point of contact for new employee inquiries during the onboarding phase.
Employee Relations & Compliance:
Assist with employee inquiries regarding HR policies, procedures, and benefits.
Support the HR team in addressing basic employee grievances and concerns, escalating complex issues as needed.
Help ensure compliance with labor laws, regulations (e.g., Factories Act, EPF Act, ESI Act, Gratuity Act, etc., relevant to India), and company policies.
Assist with maintaining accurate compliance records and tracking tools.
Contribute to maintaining a positive and inclusive work environment.
Payroll & Benefits Administration Support:
Assist with collecting and verifying data for payroll processing (e.g., attendance, leave, overtime).
Support the administration of employee benefits programs, responding to basic inquiries.
Help with reconciliation and audits related to payroll and benefits documentation.
Learning & Development Support:
Assist in coordinating training sessions, workshops, and employee development programs.
Help with logistics for training events and maintaining training records.
Offboarding:
Assist with the offboarding process for departing employees, including preparing termination paperwork, coordinating exit interviews, and ensuring timely final settlements.
