Reporting to the Finance function, the Group Travel manager monitors, implements and ensures adherence to Travel policy, instructions and guidelines throughout the Group. He/She organizes a team and a network for deployment of related aspects in each Region. He/She improves the management and efficiency of business travel, simplifies related-processes (approvals, bookings, expenses). He/She interfaces with Group/Countries Human Resources, Indirect Procurement and other key departments (IS&T, Security, CSR, \xe2\x80\xa6) to adapt rules & processes to any updated situations. He/She continuously identifies opportunities that can be launched and result in cost savings. He/She supports annual budget preparation and delivers a monthly dashboard addressing HR/Finance/Indirect procurement/CSR requirements.

Specific tasks include:

1. Group Travel policy enforcement : ensure adherence and compliance

Supported by internal Travel network and based on HR Global Travel policy, elaborate, update and monitor travel directives at any level (Country, Cluster, Region), in a consistent & fair approach, incorporating local specificities & contextual inputs. Manages communications and training, primarily on Policy, Trip approvals, Bookings, Expenses claims.

2. Operations support coordination for Travel

Manage T&E network at global level (one coordinator per Country as a principle).

Manage Group Online booking tool liaising with relevant departments (HR, Indirect Procurement, Security,\xe2\x80\xa6).

Manage Credit Card Program management (Corporate cards).

Ensure local directives, guidelines, cost savings initiatives, travel bans, approvals\xe2\x80\x99 scheme updates, specific restrictions and other news are communicated.

Help resolving issues and provide assistance on specific/exceptional circumstances.

3. Travel & Expenses Controlling

Monitor bookings & expenses to provide visibility of travel activities & costs.

Develop Travel Reporting/Controlling/Accounting.

Develop Travel policy monitoring; investigate non-compliance to policy and recommend actions.

Manage Travel Expenses claims processes.

Establish targets/savings potential.

4. Travel Management information

Develop & manage sharepoints and other database supporting travel management.

5. Travel, Meetings & Events : support Indirect procurement

Specify travel requirements, Participate in selection of vendors, Support local agreements (hotels,\xe2\x80\xa6) & negotiations (esp. for Meetings & Events), Communicate on contracts terms & conditions. Support Contract applications. Manage supplier relationship (claims).

As part of the HQ/ Group Function Controlling team, and after the convergence of the T&E Portal at Group level, the Group Travel Manager is expected to take on additional responsibilities on transverse initiatives relating to costbase optimization and controlling efficiency.

Qualifications:

Min 10 years of experience in an internal company, in a matrix environment

Experience in the management of Travel Policy efficiency

Able to work in an international environment, good communication skills.

Ability to convince and coordinate a network

Fluent in English
