The General Services Operations Analyst 2 is an intermediate-level professional responsible for providing support to corporate services functions to ensure operational productivity and efficiency, in coordination with the Corporate Services function. The overall objective is to utilize specialty knowledge to evaluate processes and identify gaps, to make recommendations and provide customized solutions. Responsibilities: Provide support for various service functions including dining, culinary preparation, facility maintenance or building services Utilize in-depth knowledge, skills and abilities required to resolve issues referred by subordinate staff, escalate as needed Monitor, assess, analyze and/ or evaluate processes and data Provide guidance or on the job training to new team members Prioritize workload to manage tasks for various functions in an effective and efficient manner ensure effective communication with various contacts Applies professional judgment to recommend changes to requirements relevant to specific unit of work Develops working knowledge of industry practices and standards Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm\'s reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency. Qualifications: 5-10 years of relevant experience Business acumen preferred Ability to adapt in fast paced environment Basic proficiency in Microsoft Office Suite Education: Bachelor\'s degree (or equivalent) /Diploma in post graduation The General Services Operations Analyst 2 is an intermediate-level professional responsible for providing support to BTSS services functions to ensure operational productivity and efficiency, in coordination with the Corporate Services function. The overall objective is to utilize specialty knowledge to evaluate processes and identify gaps, to make recommendations and provide customized solutions. Responsibilities of this team include the end-to-end management of Citi\'s BTSS Products Key Responsibilities: The role of location Lead is to manage, employee transport, Cafeteria, Pantry, Mail & Distribution, Office Supplies, Managed Print Services, Archiving, and other business support activities. This multi-tasking role requires creativity and an excellency to perform the duties well. Self-motivated and ability to work under pressure is the best suite for the role. Knowledge/Experience: Prior Team Leadership Experience Operational Management & Control Stakeholder Management Risk & Controls Acumen Skills: Customer Service Interpersonal communication skillsare necessary for communicating with employees, upper management, and vendors, through email, phone, text, and in-person. Strong analytical skillsand power decision making capability. Leadership skillsfor taking charge on coordinating across teams and business requirement. Long-term planning skillsto make holistic decisions keeping long-term benefits in mind. Process Improvement / Reengineering Analytics / Data Management & Reporting People Management Project Management Vendor Management Accounts The role also requires the incumbent to: Mail & Distribution Manage mailroom processes for smooth operations that are align with defined In-country and Regional guidelines with all standardization. Ensure compliance with all Local regulations and Legal requirements according to Citi policies. Monitoring of MIS dashboard, sharing fortnightly and Monthly updates to Country Product Lead. Work with the Country Product lead to implement various initiatives to enhance mailroom operations and automation in the current processes. Ensuring mailroom COB (zero affect to the business in case of emergency) and evidence uploaded. Mailroom sites attestation on semi-annual basis. Timely supplier payments, managing their concerns and obtaining NOCs. Cafeteria & Pantry Management Monitor daily operations at the cafeteria counter for on time delivery of food Review of Weekly pest control activity to be conducted by the supplier Monthly Review with Supplier on performance Monitor of sale volumes at the counter to avoid wastage Ensure stock is rotated on a regular basis to avoid expired stocks in the inventory Review indent purchase for Pantries across sites Review invoices at par with products suppliers prior providing approval PO to be monitored for availability of funds Assets to be regularly monitored, checked and serviced as required Support for Organizing food festivals and events Transport Management Managing the Governance team Ensuring that the team is diligently ensuring that Compliance, MIS, Technology, Audit, etc. are efficiently carried out from time to time. Ensure that support is provided to the transport team for the vendor to provide adequate fleet and that the supplier team are doing proper routing, tracking, adhering SLA, reporting incident ticket etc. in defined timeline. Ensure smooth operations. Teams both Governance and Vendor are meeting the SLAs and timelines Handling Escalations if any and RCA Implementation of Processes and Technology Handling of events conferences Reviews and Meetings with Citi Team, Vendor team, Site CAO and Quarterly with Site head on Transport performance Relationships with vendor partners and meetings and regular intervals Ensure regular Driver Trainings are conducted by the team. Ensure Safety & Security of the employees availing company transport Improving satisfaction level of internal customers by close monitoring of the transportation service Monitor transport spend and Alert Transport Head and BTSS Country head in case cost are increasing and provide justification Review and ensure that timely responses are provided to employees on transport service provision in a professional manner. Handle escalations received from Transport team on Vendors and vice versa. Ensuring the service provider complies with provisions of Motor Vehicles Act, provisions of RTO, Vehicle Insurance, Road Permit, Vehicle Permit, Driver Licenses, etc. Risk and COB situation management with minimum impact to employees and business Monitor and take corrective action on outcome from, Customer Satisfaction Survey results provided by Citi transport lead Monitor the operations of the Per Car Portfolio and that the team is responding to queries in a timely manner. Monitor performance of Business Car Rental Vendors and any escalations from users if any Management of overseeing the Pool Car Service. MIS - Billing / Compliance & Tech Fitness Centre Review SOW and SLA with supplier monthly Monitor Equipment maintenance is performed by the supplier as per agreed terms MPS Keep a stock of the inventory of Printers Review the utilization of all printers at site Manage escalations of printer performance Operational activities Stake holder Management SLT reviews In country Job Skills/Qualifications Bachelor\'s degree (or equivalent) /Diploma in post graduation Ability to perform with excellency working under pressure and tight schedule. Positive attitude, creative thinking, effective decision-making skills and results oriented. Ability to create and develop new business relationship, systems, and ideas to ensure company\'s success. Effective analytics to draw profitable conclusions. Customer focused, self-motivated, proven problem solver and conflicts resolver.
