Job Description

Guest and visitor management

  • Greet and welcome guests as they arrive at the office.
  • Direct visitors to the appropriate person or department.
  • Maintain a tidy, presentable, and welcoming reception area.
  • Manage visitor logs and security procedures.
Communication and administrative support
  • Answer, screen, and forward incoming phone calls.
  • Respond to emails and handle general inquiries.
  • Receive, sort, and distribute daily mail and deliveries.
  • Assist with administrative tasks like filing, photocopying, and data entry.
  • Manage office supplies and maintain inventory.
Organization and scheduling
  • Schedule appointments, meetings, and manage calendars.
  • Coordinate with other departments to prepare meeting rooms.
  • Handle bookings for travel and accommodations when necessary.
  • Organize and maintain physical and digital files and records.
Requirements
Customer service
  • Provide basic and accurate information to clients and visitors.
  • Handle customer complaints and issues, often escalating them to management when needed.
  • Process payments or handle cash transactions in some roles
