Job Description

Guest/Visitor Interaction:

Greeting and welcoming guests and visitors in a professional and friendly manner. Directing visitors to the appropriate person or department. Answering phones, screening calls, and directing them to the correct individual or department. Providing information about the company, its services, and local attractions. Handling guest check-ins and check-outs efficiently and accurately. Managing reservations and appointments.

Administrative Tasks:

Handling mail and packages, including sorting, distributing, and preparing outgoing mail. Maintaining a tidy and organized reception area. Managing office supplies and placing orders when needed. Assisting with administrative tasks such as data entry, filing, and document preparation. Maintaining accurate records and files.

Customer Service:

Addressing inquiries and concerns from guests and visitors. Resolving issues and providing solutions to guest requests. Ensuring a positive and helpful experience for all visitors.

Other Duties:

May assist with scheduling appointments and coordinating with other departments. May be involved in maintaining office security procedures. May be required to handle basic bookkeeping tasks.
Essential Skills:

Communication Skills:

Excellent verbal and written communication skills are crucial for interacting with guests and colleagues.

Customer Service Skills:

A positive attitude, patience, and the ability to handle difficult situations are essential.

Organizational Skills:

Being able to multitask, prioritize tasks, and maintain an organized workspace is important.

Technical Skills:

Proficiency in using computers, office software (like Microsoft Office), and phone systems is often required.

Problem-Solving Skills:

The ability to quickly assess and resolve issues that may arise is valuable.
Educational Background:

A high school diploma or equivalent is generally required. Some employers may prefer candidates with prior experience in a customer-facing role or a degree in hospitality or business administration.
