We are seeking a Front Office & Admin Executive who will be responsible for providing administrative support to ensure efficient operation of the office. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This role requires excellent organizational and multitasking skills, as well as the ability to prioritize tasks and meet deadlines.

Qualifications and Skills

  • Proven work experience as a Front Office & Admin Executive or similar role.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Knowledge of office management systems and procedures.
  • Attention to detail and problem-solving skills.
  • Ability to prioritize tasks and work under pressure.
  • Professional appearance and positive attitude.
  • High school diploma; additional qualifications in Office Administration are a plus.
Roles and Responsibilities
  • Welcome and greet visitors and clients with a professional and friendly demeanor.
  • Answer, screen, and forward incoming phone calls while providing basic information and taking messages when needed.
  • Coordinate and maintain conference room schedules and ensure rooms are clean and prepared for meetings.
  • Manage office supplies, equipment, and inventory; place orders when necessary.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Perform general clerical duties, including photocopying, faxing, filing, and organizing documents and files.
  • Assist in the preparation of scheduled reports and presentations.
  • Assist with travel arrangements and accommodations for staff members.
  • Provide administrative support to various departments as needed.
  • Assist in the coordination of office events and meetings.
  • Maintain a safe and clean reception area by complying with procedures, rules, and regulations.
  • Perform other administrative tasks and responsibilities as assigned.
