Hotel Reservation Executive / Agent - Key Responsibilities
Handle Guest Reservations
Process all incoming reservation requests via phone, email, or online booking platforms.
Confirm bookings accurately with complete guest details (dates, room type, rates, preferences).
Maintain Reservation Records
Update the hotel's reservation system (PMS) with all new, modified, or cancelled bookings.
Ensure data accuracy and prevent duplicate or overlapping bookings.
Coordinate with Other Departments
Communicate guest arrivals, VIPs, and special requests to the Front Office, Housekeeping, and F&B departments.
Ensure smooth check-in experience by aligning with the front desk team.
Manage Room Inventory & Rates
Monitor room availability and rate changes daily.
Work with the Revenue or Sales team to optimize room sales and occupancy.
Provide Guest Assistance
Respond promptly and professionally to guest inquiries and requests.
Offer information about room types, rates, facilities, promotions, and nearby attractions.
Handle Payments & Billing
Process deposits, advance payments, or pre-authorizations for confirmed bookings.
Verify payment details as per hotel policy.
Monitor No-Shows and Cancellations
Track no-shows and cancellations daily, applying hotel policies (charges, refunds, etc.) appropriately.
Ensure Quality and Standards
Follow hotel reservation procedures and maintain service quality.
Handle guest complaints politely and escalate issues to management if needed.
Upselling & Cross-Selling
Promote higher room categories or special packages to maximize revenue.
