The F&B Admin Assistant is concerned with the coordination of administrative tasks and projects within the Food & Beverage team, offering administrative support while completing projects for the team, in line with prescribed Hilton International policies and procedures.
What will I be doing?
Provide secretarial services to Food and Beverage Manager and general F&B operations.
Provide accurate verbal and written translation as and when needed in dealing with various situations with Associates, Guests, and Suppliers..
Assisting with menu translation, design, and printing for all outlets and banquet.
Arrange appointments and meetings for Food and Beverage Manager and record in diary.
Maintain a filing and trace system. File and retrieve documents and information.
Type correspondence and documents and photocopy documents.
Prepare training plans from all outlets from submission to HR department
Operate telephones following Brand Standards.
Assist with payroll management, leave applications, all data concerning in F&B department.
Assist in coordinating the screening of all applicants for employment.
Assist to ensure all Banquet Event Orders, Amenity Requests, and Personnel records are maintained accurately and secure.
Coordinate incoming and outgoing mail (including express services).
Assist in Purchase stock/inventory according to purchasing procedures and specifications.
Handle and store stock according to stock control procedures.
Be aware of duty of care, and adhere to occupational health and safety legislation, policies and procedures.
Ensures associates complete a maintenance request form and sends it directly to the maintenance section for all repairs and servicing.
Adhere to the hotel\xe2\x80\x99s security and emergency policies and procedures.
Be familiar with property safety, current first aid and fire emergency procedures.
Log security incidents and accidents in accordance with hotel requirements.
Maintain personal presentation to hotel and Hilton standards.
Demonstrate professional attitude and behavior at all times.
Apply hotel quality assurance principles.
Abide by the Hilton Code of Conduct.
Abide by the Hilton Associates Handbook.
Abide by the hotel policies and procedures.
Prepare and maintain files, reports, letter, memorandums and other relevant business documentation.
Ensure all reporting and servicing deadlines are met on a timely basis.
