Job Description


To carry out all FM related tasks for the site under your control that includes: - Housekeeping, Security, Repair & Maintenance, Transportation, RO & CCD Machine Maintenance, Material management, Pest Control, Guest Managements, Data Management, Contractual Staff Management, Reception management, Courier management. What you will do To carry out all FM related tasks for the site under your control, to include: - Manage the day to day running of the office, including reception, answering telephones/e-mails, distribution of post and organising couriers. Be the point of contact for the Sophos Management team. Be the main point of contact for the building housekeeping & security of the company. Management of housekeeping & security team, including check updates regarding minimum wages with the vendor and get the same implemented with the help of Payroll team. Rate negotiations with the vendor & PO creation for future updates Repair & maintenance for both the buildings in Ahmedabad Deep cleaning planning on weekends with housekeeping team Keep the MSDS ready for all the chemicals related to housekeeping. Cab booking for Employees and Sophos Guests for their Airport transfers, Local & Outstation Business trip in Ahmedabad from our registered vendor and managing the invoicing part as per the employee business cost centre with taking approval from employee manager if any Local or outstation business trip. Hotel Booking for Employees, New joiners and taking care of invoicing part as per the billing instructions given by the Requestor. Managing company vehicles by maintaining the data related to the Insurance, PUC (Pollution under Control) certificate, Registration Certificate validity, GPS recharge of car, fuel and Maintenance cost. Managing daily tickets for Ahmedabad region and sharing the reports on daily basis to Ahmedabad team for their daily open and closed tickets at the End of the day, takes care of the detailing report by work categories and users by creating the monthly, quarterly and Year to Date report for Ahmedabad. Managing CCD machines and stocks for both the Houses with taking care of the maintenance and service of the machines and monthly PM activity, manage stock or order it to vendor as per the requirement and invoicing them. Managing pest control for House-1, House-2 and Store schedule by aligning with the vendor as per our requirement and if any concerns or complains get the complaint logged and get it resolved at the earliest. Managing Mis data report for Ahmedabad, which includes the different types of cost related to Buildings, services and employee services provided with detailing of the cost and number of services and repair and maintenance of every small item covered in it for Ahmedabad. Implemented regularly scheduled testing, maintenance, and preventative maintenance of all FM related equipment\'s. Learn new skills and attend training programs to increase knowledge of trends and best practices in the industry. Provide safe working environment for members of staff and ensure electricity induced accidents and mishaps are prevented. Take steps to prevent fire outbreaks by making appropriate recommendations to management. Monitor & Control, Admin Capex/Opex expenditure and maintain cost efficiency in Facilities Assets inventory & maintenance for the operation to ensure adequate budget is available for business plan. Take care of all AMC and renewals of all FM related equipment\'s Ensure that equipment\'s are in good working order to prevent disruption of activities. Building audits and daily \'walkarounds\'. Ensure any maintenance issues that have been identified are logged on the maintenance system and dealt with by contacting the relevant supplier. Pursue issues until completed & Follow up Facilities related queries from site. Assist with staff events and catering Ensure that for company-wide meetings that the rooms and areas being used are set up in advance and work with IT to ensure all equipment is fully functioning. To ensure the office is presentable. Work as part of the team to ensure safety of SOPHOS employees, site guests and contractors. Supervise the process of submission of periodic statutory audits/returns as per various Acts to ensure compliances & timely payments to vendors. To be available 24/7 to assist with call outs and emergency situations as they arise. Negotiations and selection of best fit vendor for best possible services or product at optimized rates. Inventory and ordering of all facilities related supplies. Responsibility for raising all building and facilities related PO\'s and track spend. Assist with office moves where required and ensure layout of office is up to date. What you will bring Set priorities for individual workload.
