Role/ Job Title: Executive Secretary

Function/ Department: Wholesale Banking Operations

Job purpose:

We are looking for detail-oriented Executive Secretary to provide administrative support to the Wholesale Banking team. Individual will be responsible for ensuring the smooth operation of the office, managing communication channels, scheduling appointments, and handling multiple tasks efficiently.

Roles & Responsibilities:

  • The Executive Assistant (EA) will provide executive-level support to the Head-Wholesale Banking Operations.
  • Prioritize tasks and projects daily, monitor all emails, documents, or materials requiring input and/or approval.
  • The EA will oversee and manage the flow and exchange of information, streamline interactions and facilitate coordination of initiatives on behalf of the Head-WBO.
  • Assist the business and functional heads in executing their daily responsibilities.
  • Proactively handle all e-mail, scheduling and other correspondence.
  • To represent the leader\'s calendar and availability in their absence for all requirements.
  • Support with scheduling presentations for various reviews and meetings.
  • Manage travel and calendar related work. Individual will have to be responsible for, with a clear focus on keywords that help candidates/recruiter gauge the requirement.
  • Help with managing claims of the Head-WBO Office.
  • All administrative support and help to be extended to the senior.
  • Manage the end-to-end billing process g Verticals, track payments/ claims, assist the Marketing Team for processing of the PR/POs as per defined TAT.
  • Set-up robust approvals management process for the WBO Unit, including management of approvals from the Head-WBO queue across portals, etc.
  • Monitor and track payment status, prepare financial provisions for timely submission to the finance team with streamlined process.
  • Coordinate with Internal as well as external stakeholders on day-to-day basis and manage indenting of the corporate stationery for the unit.
  • Recommend improvements to processes and policies across the supporting teams and business to drive operational efficiencies and high-quality customer service.
  • Set benchmarks with best-in-class practices to manage billing and administration.
Education:

Graduation: Any Graduate

Post-graduation: MBA / PGDM

Experience: 5 to 10 years of relevant experience.
