Greet and provide general hospitality and support to all visitors, ensuring a pleasant and professional experience.
Respond promptly and professionally to inquiries received in person, over the phone, or via email. Build and maintain positive rapport using courteous communication and anticipating visitor needs.
Manage and update appointment calendars; schedule appointments using the Visitor Management System (VMS), route visitors to the appropriate departments/persons, and ensure proper check-out tracking.
Maintain up-to-date knowledge of the organization's products, services, and policies to provide accurate information, including to onboarding enquirers when required.
Attend to walk-in grievances courteously, provide clear explanations, and ensure mutual understanding and resolution.
Document relevant visitor interactions and maintain proper records where necessary.
Uphold professional etiquette by overseeing housekeeping services on the floor, maintaining the tidiness tracker, and arranging housekeeping and stationery materials as required.
Handle inbound calls and prioritize sorting of daily deliveries, mail, and couriers to the correct departments in a timely manner.
Comply with all safety procedures and promptly report any unsafe situations to the reporting hierarchy.
Support other administrative tasks and duties as assigned.
