Manage the Director's calendar, scheduling meetings and appointments.
Handle all incoming and outgoing correspondence, including emails and calls.
Prepare documents, presentations, reports, and agendas.
Maintain organized and confidential filing systems.
Logistics and travel:
Coordinate and arrange travel, including flights, accommodations, and visas.
Manage logistics for meetings, conferences, and events, both internal and external.
Liaison and communication:
Act as a primary point of contact between the Director and internal/external stakeholders, staff, and other departments.
Screen and prioritize communications, acting as a "gatekeeper" to ensure the Director's time is used efficiently.
Project and office management:
Take ownership of assigned projects, track deadlines, and ensure timely completion.
Assist with operational oversight and monitor institutional activities.
Conduct research and gather information as needed to support the Director.
Key qualifications
Proven experience in an executive assistant or similar senior administrative role.
Exceptional organizational, time management, and multitasking skills.
Strong verbal and written communication skills.
High degree of professionalism and discretion to handle confidential information.
Proficiency in standard office software, such as the Microsoft Office Suite.
Problem-solving skills and the ability to work independently as well as collaboratively.
