We are currently seeking a
Executive Assistant (EA)
to support the Director in a dynamic, fast-paced hospitality environment. The ideal candidate is well-organized, discreet, and able to handle both professional and personal coordination at a high level of efficiency and grace.
KEY RESPONSIBILITIES
Executive & Administrative Support:
Manage the Director's calendar, including scheduling meetings, events, and appointments.
Screen and prioritize calls, emails, and messages while maintaining confidentiality.
Draft, format, and manage correspondence and other documents on behalf of the Director.
Liaise between the Director and internal teams, clients, and external partners.
Meeting Coordination & Follow-up:
Organize and attend meetings as required; take accurate minutes and track action points.
Coordinate follow-ups, ensure timely completion of assigned tasks, and maintain accountability.
Travel & Logistics:
Handle domestic and international travel arrangements, including flight bookings, accommodation, itineraries, and visa formalities.
Maintain airline loyalty programs and travel preferences.
Coordinate logistics for events, meetings, or client engagements hosted at CAARA locations or external venues.
Personal & Social Calendar Management:
Support in organizing personal appointments, social gatherings, or high-profile dining experiences.
Assist in RSVP coordination and communication with guests, vendors, or dignitaries as required.
General Support & Research:
Conduct internet-based research for vendors, services, products, or travel needs.
Place and track orders online using company accounts.
Maintain and organize digital and physical databases and contact directories.
QUALIFICATIONS & SKILLS
3-5 years of proven experience as an Executive Assistant, Personal Secretary, or similar role.
Excellent communication skills in English - both verbal and written.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Highly organized with the ability to multitask, prioritize, and maintain discretion.
Familiarity with the F&B or hospitality industry is a plus.
Internet-savvy and confident handling online research and e-commerce transactions.
PREFERRED PROFILE
Lady candidates with polished communication, discretion, and professional presence.
Candidates with a background in supporting senior leadership, preferably in hospitality or luxury sectors.
Individuals with a long-term commitment to a Delhi-based role.
