A Dispatch Incharge at a coal washery is responsible for overseeing the logistics and safe transportation of processed coal from the plant to its final destination. The role involves coordinating loading activities, managing a team, and ensuring all documentation and regulations are properly handled.
Core responsibilities

• Loading and dispatch operations: Supervise and coordinate the day-to-day loading of processed coal into trucks or railway wagons. Manage the loading schedules to ensure timely and efficient shipments.
• Logistics coordination: Communicate and coordinate with transporters, drivers, railway authorities, and customers to ensure smooth delivery and resolve any potential delays.
• Quality and quantity control: Confirm the quality and quantity of coal being dispatched matches the specifications in the contract. Conduct regular checks during the loading process to minimize transit losses.
• Inventory and stock management: Track and manage the inventory of washed and processed coal in the stockyard. Maintain accurate records of coal dispatches and verify stock levels.
• Documentation and reporting: Prepare and verify all dispatch-related documents, such as challans, weighbridge slips, and invoices. Generate daily and monthly reports on dispatch quantities, stock positions, and operational issues for senior management.
• Safety and compliance: Enforce strict adherence to all company safety protocols and relevant transportation regulations during loading and dispatch activities. Ensure that safety equipment is used correctly and that vehicles are properly sealed with tarpaulin.
• Fleet management and tracking: Monitor the movement of transport vehicles (e.g., trucks via GPS) to track deliveries, prevent unauthorized stops, and optimize routing.
• Team supervision: Lead, train, and manage the dispatch and loading team, ensuring all personnel meet company and location standards.

Qualifications and skills

• Experience: A minimum of 3 to 5 years of proven experience in dispatch operations within the coal, mining, or heavy manufacturing industries is typically required.
• Education: A bachelor's degree in logistics, supply chain management, or a related field is often preferred, though a diploma with relevant experience may be considered.
• Technical skills: Proficiency in dispatch management and logistics software is essential. Experience with SAP and standard office software like Microsoft Office is also desirable.
• Soft skills: The role requires strong organizational, problem-solving, and leadership abilities. Excellent communication skills, the capacity to work under pressure, and keen attention to detail are crucial.
• Industry knowledge: A good understanding of the coal handling process, including quality specifications and transportation regulations, is necessary.
