Job Description


To facilitate Business Heads to achieve units goals, monitor and execute seamless HR Operations, implement and drive Corporate Value Initiatives, standardize HR systems, processes, sourcing Quality Talent within timelines & ensuring 100% engagement of team, building capabilities of team, assessing impact of training conducted, driving safety culture, handling grievance, taking corrective actions on exit interviews, effective liaisoning ensuring 100% compliance as per applicable Act and controlling labour contractors, presenting HR - Analytical reports and MIS with actionable recommendations.

Key Responsibilities:

Planning:

1. Plan and source quality manpower in line with approved organogram (employee /labour) and update organogram.

2. Plan and meet regulatory & statutory personnel\'s maintaining updated and accurate documentation; building healthy relationships.

3. Plan, and execute induction and orientation process and ensure new joining employees are equipped with tools and tackles and are handed over their role and responsibilities.

4.Plan and execute employee engagement activities and effectively execute events and celebrations as per corporate guideline.

5.Plan and prepare accurate HR budget and handover to Circle Head HR.

Administration:

1. Monitor, review and ensure timely renewals of licenses, insurance, statutory compliances as per Factory Act with focus on employee health and safety.

2. Take appropriate actions and ensure employees adhere to code of conduct and maintain discipline ensuring seamless operations at site.

3. Ensure all employees details updation in PIMS in a timely manner and authorize master in ALERT.

4. Verify Pay PH and authorize Verify Unit Salary and submit for approval through Circle Head HR to Unit Head on or before the 1st day of every working month.

5. Verify HR expenses and process for approval through Circle Head HR.

6. Verify loan proposal and submit with actionable recommendations to Circle Head for approval

7. Ensure meeting separating employee, conduct exit interview, verify No dues and process resignation in a timely manner.

8. Coordinate with Admin & PR Head in case of fire, fatal or any accident or incident and communicate to all concerned supporting with all necessary documentation.

9. Meet build informal rapport with employees and resolve employee issues.

Public Relations / Compliance:

1. Establish proactive healthy relationships with all internal and external stake holders.

2. Liaison with key external stake holders (local, regulatory and statutory bodies - PF, ESCIC, PT, labour)

3. Proactively liaison with regulatory officials visiting factory and ensure they are provided with appropriate information and documents

4. Monitor, review and take corrective actions on hearing of legal cases, permissions, licenses, statutory audits, inspections in coordination with Legal and PR.

Talent Acquisition:

1. Ensure candidate sourcing and selection process is adhered and open position are closed on an average within 30 days and candidates perform to achieve desired B+ grade

2. Coordinate and ensure timely availability of panelist and interview discipline at sites and coordinate with corporate for senior management profiles

3. Screen candidates map competencies with role before final interview

4. Conduct employee Test report as applicable and submit report to Circle Head

5. Conduct reference check of employees and take submit report with actionable recommendations to Circle Head/ Unit Head.

6. Verify and ensure candidate complies with Undertaking, NDA and documentation.

7. Check documentation and submit Offer Letter and Appointment order to Circle Head for authorization.

Employee Management & Engagement:

1) Monitor and execute induction for new joining employees in coordination with functional Heads and Circle Head and act on feedback

2) Ensure new joining employees are systematically inducted as per approved induction plan

3) Take effective proactive steps in monitoring and updating job roles and communicating with respective employees.

4) Ensure new and existing employees are aware about their role, KRA, KPI and take corrective actions in case of any discrepancy.

5) Update roles periodically in consensus with Circle Head.

6) Update KRA and KPIs in consensus with Circle Head and keep corporate in loop

7) Ensure all employees are equipped with tools and tackles to effectively discharge their duties

8) Conduct Orientation program to ensure all HR policies and systems are known to all employees and employees benefit and follow them.

9) Verify expenses of annual events and submit impact report.

10) Timely execute PMS as per corporate guidelines in a healthy and effective manner.

11) Coordinate with Circle Head and Functional Heads in the PMS process of finalizing reward and distribution of reward letters

12) Monitor and coordinate in organizing coaching sessions of senior team members and ensure mentor mentee programs are conducted as per schedule.

Training & Development:

1. Execute training programs and measure its effectiveness

2. Ensure each employee completes a minimum 24 / 32 hours of training annually within approved budgets.

HR Analytics, MIS and Budgets:

1 Prepare and submit actionable management reports

2 Prepare and present various HR reports & analysis with actionable recommendations

3 Monitor productivity and submit abnormal reports for taking corrective actions in achieving manpower cost per metric ton as per budget.

4 Review monthly reports (Manpower count (including contract labour), Number of joined and left, Attrition, employee grievances, daily production, incidences) and submit report to Circle Head and Corporate5 Prepare and submit HR budget to Circle Head.

Quality:

1. Ensure timely and quality appointments.

2. Ensure excellent housekeeping, healthy food, clean work environment.

Cost:

1 Ensure costs are controlled within sanctioned budgets.

2 Review Cost for various admin services and take appropriate steps to reduce cost wherever possible.

3 Review cost of attrition and leaving of new joining employees within six months of their joining.

Qualifications

1. Should have at least 8 to 10 years experience in any manufacturing industry

2. Must have full time degree @ MBA or equivalent degree.

3. Must have good negotiation, Presentation and communication skills. (Hindi, English, Marathi).
