This role requires a unique blend of administrative expertise, technical understanding of civil engineering principles, and the ability to effectively coordinate activities between the office and project sites. The ideal candidate will be detail-oriented, possess excellent communication and problem-solving skills, and be comfortable navigating both administrative tasks and the practical aspects of construction and infrastructure projects.
Responsibilities:
Oversee and manage all administrative functions related to civil engineering projects, ensuring smooth and efficient operations.
Establish and maintain organized filing systems (both physical and digital) for project-related documents, including contracts, drawings, reports, permits, and correspondence.
Manage office supplies, equipment, and vendor relationships, ensuring cost-effectiveness and timely procurement.
Coordinate and schedule meetings, prepare agendas, and record meeting minutes for project teams and stakeholders.
Handle incoming and outgoing communication (phone calls, emails, correspondence) professionally and efficiently.
Assist in the preparation of project-related reports, presentations, and documentation.
Manage travel arrangements and logistics for project staff as needed.
Ensure compliance with company policies and procedures.
Support the finance department with invoice processing, expense tracking, and other administrative tasks.
Site Visit & Technical Support:
Conduct regular site visits to monitor project progress, observe construction activities, and ensure adherence to plans and specifications.
Provide administrative support on-site, including documentation, record-keeping, and communication facilitation.
Assist project managers and engineers with basic technical tasks, leveraging your civil engineering knowledge (e.g., taking measurements, identifying potential discrepancies, basic quality checks).
Serve as a point of contact on-site for administrative and logistical matters.
Prepare site visit reports, documenting observations and any issues encountered.
Ensure adherence to safety regulations and report any safety concerns observed on-site.
Facilitate communication between the site team and the office-based administrative and technical teams.
Qualifications:
Bachelor's degree or Diploma in
Civil Engineering

2+ years of experience in an administrative role, preferably within the construction or infrastructure industry.
Understanding of civil engineering principles, construction processes, and relevant terminology.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent organizational, time-management, and multitasking skills.
Strong written and verbal communication skills.
Ability to work independently and as part of a team.
Attention to detail and a high degree of accuracy.
Problem-solving and decision-making abilities.
Valid driving license and willingness to travel to project sites.
Familiarity with project management software or document control systems is an advantage.
