Job Description

Job Purpose and Impact

The Business Travel Administrator will work as a part of the GHRS Cargill Business Services Team, to analyze employee travel information and social security compliance requirements primarily for the Schengen countries . In this role, you will prepare required documentation for the traveler or notify an external vendor to complete a more in-depth analysis. You will be the travelers first point of contact for questions regarding completion of the Data Gathering Form (DGF).

Key Accountabilities

  • Communicate with employees at all levels of the organization regarding their travel information and documentation requirements & assessments as applicable
  • Demonstrate a strong ability to analyze and assess information to determine required travel documentation into a specific country or countries. Independently review and analyze employee travel data with regard to immigration and social security country specific requirements
  • With minimal oversight, evaluate traveler information via decision trees and country rules and make conclusions as to travel document compliance requirements. Interface with external vendors (law firms) to request further analysis of travel documentation to ensure compliant work authorization (Work Permits, Visas), predominantly for European countries.
  • Identify exceptions and provide the correct process for next steps to ensure they are travel ready and their documents are in compliance. Work with internal subject matter experts / external vendors as necessary to assist in analysis of traveler documentation & required work authorization
  • Create required travel documentation via Word document and mail merge & complete the execution of the document (signatures) or guide the traveler through the process Manage traveler information in a database. Ensure the completeness and maintenance of the information
Qualifications

Qualifications

Minimum Qualifications

1-3 Years years of experience in Schengen VISA Process administration, Service Desk in Travel domain

Basic MS office - Excel knowledge

Strong oral and written communication skills sufficient to effectively communicate and influence all levels of the organization

Preferred Qualifications

Masters Travel and Tourism

Preferred total years of experience- 3-5 years

Ability to work with Stakeholder groups

Experience with reviewing and analyzing travel documentation, Docu Sign

Expertise in terms of multiple visa requirements , multiple entries and Visa documentation and operations

Good written and spoken communication in English ,

Knowing German will be an added advantage
