Job Title -Branch Manager / Branch Incharge



Department - Admin



Position Reporting to - Sales Head/ MD



Education Qualification - Any Degree / Post Graduation with basic computer knowledge



Experience - 6 to 15 years & above.



Goals



Responsible for profitability of the entire branch.

& Accountabilities



To report to showroom before 15 minutes commencement of the work and punch your attendance. Report to MD about your presence in the showroom. Be in company Uniform and ID card all the days of work.

A) Administration and House Keeping:



Assigning the work to subordinates. Checking attendance register and daily sheet. Ensure all the employees punch their attendance four times in a day. Responsible to send the punch deviation report to HR on every Monday. Go on round showroom, workshop, spareparts, security and their surrounding areas. Ensure cleanliness, hygiene in and around show rooms, service area, washing area, scrap yard, stock yard, pantry, toilets, workmen changing room, eating place etc. Ensure periodical cleaning of all the glass doors, main doors, rolling shettar windows etc once in a month. Check for the major and minor civil works. Checking and replying mails. Ensuring the fund availability for Sales, Service and Parts etc. Daily ensure all the documents from postal department / courier / registered post and Inter branch are entered in the Inward/Outward register and issued to concerned departments. Check Visitors observation register and take action accordingly. Coordination with Purchase department for vendors for supply of housekeeping materials, printing and stationary, corporate gifts, idols, uniforms etc. Ensure Admin executives/Receptionist attending and guiding the walk in customers. Ensure minimum stock of printing and stationary items are maintained at all the times. Coordination with HR department for man power requirements and employee related queries. Ensure proper maintenance of all the files/registers/agreements etc pertaining to all the departments. Maintenance of office furniture and other materials like table, chair, fan, telephones, computers, laptop etc. Ensure the generator is working. Preparing monthly activity plan, sending weekly activity done report Vs actual activity planned to MD on weekly basis. Checking the review reports. Planning the budget once in a year. Ensure Incentives are prepared and sent to HR on or before 10th of every month. Coordination with all Principles, Head Office and other department heads. Checking the following with Security:
a) Timing register

b) Vehicle register

c) Inward/Outward register

d) Log book

e) Gate pass file

f) Mobile box

Carry out yearly performance appraisals of all the employees. Implementation and monitoring of Standard Operating Procedures (SOP) for the entire department. Ensure employee retention. Ensure 5S activity is done every month and same should be monitored.

B) Sales



Responsible for the entire sales operation of the concerned dealership, controlling expenses, enhance the profitability of the dealership by establishing good practices. Coordinating with Sales Head for sales related issues like ordering, discount, closing etc. To lead showroom field sales, corporate tie ups, new scheme initiatives, outdoor sales etc. Concentrating on improving PDSS score every month. Generate revenue streams from insurance, auto finance and accessories sales. Field visits to Sales Managers/Sales Consultants whenever required. Effectively communicating with cross functional teams like Customer care, Finance, Insurance, PDI departments on weekly basis to review departmental forecast and consistency with the monthly/quarterly and annual projections. Focusing on any customer complaints that department manager are unable to rectify and taking the necessary steps to resolve this complaints. Conducting daily sales meetings. Focus on exchange vehicle. Ensure sales events are planned and conducted every month. Conducting weekly meetings with cross functional teams like Accessories, Auto finance, Insurance, Used car division and Customer care to monitor the progress. Check for the dispatches. Daily follow up with Sales Manager, Team leader and Sales consultants about the sales progress and follow up with the financial institutions and corporates whenever required. Ensure all the enquiries that are generated i.e; telephonic, walk in, referral, web, ads are equally distributed to all the consultants. Ensure proper documentation is done like Insurance, TP, PR, Cash receipt, Invoice, gate pass, Sale letter etc. At least make six corporate visits every month to generate corporate leads. Checking the log book of the Sales consultants for any variations. Ensure periodic training for the entire sales team. Supporting all the sales team to close the deals.

C) Service



Ensure the profitability of service department. Coordinating with Service Head for service related issues. Conducting morning meetings with service team. Go on round in workshop, talk to customers twice in a day. Checking the warranty claim process. Visit to Insurance office for pending claims. Check for the revenue of the day. Concentrating on improving RBP score every month. Ensure service events are planned and conducted every month. Check for number of repair orders opened by Service Advisors. Focus on SSS score. Check for accident cars. Ensure liquation of scrap. Focusing on any customer complaints that department manager are unable to rectify and taking the necessary steps to resolve this complaints. Visit to Body shop department, check for the pending repairs. Ensure periodic training for the technical team. Conducting weekly meetings with cross functional teams like service, Body shop, Spare parts and Customer care to monitor the progress. Ensure all the job cards are billed at the end of the day as per labour schedule. Assisting and supporting the team.

D) Spare parts



Ensure the profitability of Spareparts department. Visit to Spareparts storage area and meeting the parts Incharge, check for the cleanliness in the store twice in a day. Check for the parts and accessories availability. Ensure the proper inventory is maintained. Ensure ordering should be done in the following groups - Minimum stock level, orders to be placed with principle supplier, VOR - Vehicle Off the Road and local purchase. Ensure daily physical stock checking of 10 items and checking of stocks traded on previous day by Parts Incharge. Responsible for disposal of dead stock. Daily monitoring of sales. Conducting weekly meetings with Spare parts and Accessories team to monitor the progress. Assisting and supporting the team.

E) Accounts



Discuss with Accountant to take fund position, bank status, receivables and pending issues related to Sales, Service and Parts. Check the daily sheets. Checking monthly sales and service review reports. Check for refund cheque's. Checking and signing all the vouchers, refunds, incentives, invoices etc. Outstanding review twice in a month. Any other jobs/tasks assigned by MD.
