Documentation Management: Maintain and organize various documents, records, and files related to pharmaceutical products, regulatory compliance, and other critical information. Ensure accuracy, accessibility, and confidentiality of documents. Data Entry and Management: Accurately input, update, and manage data in the company\'s databases and information systems. This includes product information, inventory data, sales records, and other relevant data. Order Processing: Assist in processing customer orders, ensuring accuracy and timely fulfillment. Collaborate with the sales team to address customer inquiries and provide order status updates. Inventory Management: Support inventory control by monitoring stock levels, tracking product movement, and coordinating with relevant teams to ensure an adequate supply of pharmaceutical products. Communication: Serve as a point of contact for internal teams and external partners, providing assistance and information as needed. Respond to emails, phone calls, and other inquiries promptly and professionally. Compliance and Regulations: Maintain awareness of pharmaceutical industry regulations and standards, ensuring that company processes and documentation adhere to relevant guidelines. Reporting: Generate and compile various reports related to sales, inventory, and operational metrics. Provide insights to management for informed decision-making. Process Improvement: Identify opportunities for process optimization and efficiency enhancements within the back-office functions. Collaborate with relevant teams to implement improvements. Administrative Support: Assist in administrative tasks such as scheduling meetings, organizing company events, and managing office supplies to ensure a well-functioning work environment. Cross-Functional Collaboration: Collaborate with different departments such as sales, supply chain, quality control, and regulatory affairs to facilitate smooth operations and support inter-departmental coordination. Qualifications and Requirements:
  • Bachelor\'s degree in a relevant field (e.g., business administration, life sciences, pharmacy, etc.).
  • Prior experience in a back-office or administrative role within the pharmaceutical industry is preferred.
  • Strong attention to detail and excellent organizational skills.
  • Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
  • Excellent communication skills, both written and verbal.
  • Knowledge of pharmaceutical regulations and compliance standards is a plus.
  • Ability to work effectively in a team and independently.
  • Problem-solving skills and a proactive attitude toward process improvement.
